Job Description

This position supports the efforts to implement, administer, and coordinate instruction in the Social Science and Business division with the overall goal of providing educational opportunities across multiple instructional units. The Administrative Assistant duties contribute to the Colleges overarching strategies of acquiring technology, engaging and retaining students, empowering faculty and staff to improve processes, and increasing partnerships.

What You'll Do

Administrative Support for the Social Science and Business Division:

  • Build and maintain relationships with instructors, students, and members of the public and business organizations, in a professional, courteous, and efficient manner.
  • Communicate effectively, verbally and in writing.
  • Demonstrate commitment to the colleges diversity goals.
  • Works with other college units such as purchasing, facilities, and information technology to ensure accurate and timely procurement of materials and services for division.
  • Schedules and coordinates the collection of student evaluations of faculty.
  • Provide assistance to faculty, students and others and make appropriate referrals as necessary.
  • Maintain good working relationships with other college departments and personnel.
  • Work with faculty and the dean to create and submit quarterly instructional schedules in accordance with expected timelines and deadlines.
  • Serve as a collaborative member of the team in the office to provide support and back up coverage for other divisions and the Instruction Department as needed.

Administrative Support for the Social Science and Business Dean:

  • Gather appropriate data and information for reports, forms, and other documents.
  • Prepare and review purchasing, travel, and other financial documents for accuracy and correctness.
  • Screens, prioritizes and distributes mail; screens calls and visitors
  • Follow all applicable college procedures.
  • Assist the dean with orienting new staff to college processes and procedures.
  • Create and maintain spreadsheets and databases, e.g. class schedules, and budgets.
  • Maintain appropriate confidentiality.
  • Assist in maintaining the deans schedule/calendar and any other office schedules/calendars.
  • Manage time on critical assignments and prioritize work in response to requests.
  • Arrange, attend and/or conduct meetings upon request.
  • Record, distribute, and maintain meeting minutes for program and tenure review committees and other meetings as requested.
  • Make travel arrangements for the dean and others as directed.
  • Prepare, proof, and edit reports, correspondence, contracts and other documents as requested.
  • Prepare and process documents and forms as directed.
  • Reconcile and monitor division budgets, applying appropriate coding, e.g. program goods and services, division office, professional development and grants/allocations.
  • Perform other duties as assigned  

 

Qualifications You Possess

Minimum: Qualifications:

  • High school graduation or equivalent AND three years of progressively responsible experience in office, clerical, or administrative work; formal education will substitute year-for-year for experience.

  • Collaborative -- The ability to work in culturally diverse groups toward a common goal by involving, including, and valuing others.
  • Flexibility -- The ability to respond and adapt to new and changing situations.
  • Demonstrated commitment to a working environment that values a diverse academic environment, inclusive of students, faculty, and staff of diverse cultural, socioeconomic, and educational backgrounds.

Preferred Qualifications:

  • Demonstrated commitment to customer service. 
  • Experience working independently; ability to prioritize multiple tasks; and accommodate numerous interruptions is essential.
  • Strong aptitude for attention to detail and accuracy of information.
  • Excellent communication skills, the ability to work well with others, and function as a team member. 
  • Working knowledge of computers and software applications, specifically MS Office suite: Word, Outlook, Excel.
