Program Assistant – Student Development

The Position

Under general supervision, this position performs a wide variety of tasks in support of Student Development. This includes: Advising; Services for Students with Disabilities; Running Start, Veterans Center. This position is part of Student Development and housed in the Student Services Division.

The College

Located in the northwest corner of the United States, Peninsula College is nestled in the foothills of the Olympic Mountains. The main campus in Port Angeles, Washington, overlooks the Strait of Juan de Fuca and the nearby city of Victoria, British Columbia, and has easy access to the Pacific Ocean, Olympic National Park, and Seattle. Essential Functions

Services for Students with Disabilities (SSD):

  • Utilize resources to answer general questions and direct students or faculty to appropriate information on the web or to the correct staff person.
  • Provide students and faculty with general information about how to complete SSD accommodation requests.
  • Assist with tracking accommodation requests and create a file when request is complete.
  • Maintain SSD filing system and update files as needed.

Essential Functions Continued

Will assist SSD with:

  • Data entry and student information system coding.
  • Proctoring and schedule student exams.
  • Reading and/or scribing student exams.
  • Scheduling staff to proctor, read, or scribe exams.
  • Reserving testing space.
  • Receiving testing documents from instructors.
  • Tracking supplies and assistive technology inventory.
  • Training students on assistive technology.
  • Finding and training student note takers.
  • Revising documents and web pages.
  • Tracking budget expenses.

 

Student Development, general:

  • General office management (i.e. arranging for office supplies and providing general support to the rest of the staff).
  • Assist Director of Student Advising and Success Services with scheduling, work orders, tracking budget expenses, and other duties.

 

Advising:

  • Assist with coding of advisors, student groups/categories, milestones/areas of study.
  • Assist with scheduling needs, Navigate tool, and other duties.

 

Running Start:

  • Assist with Running Start coding, book program, scheduling, events, and other duties.

 

Veteran Center:

  • Assist with communication, scheduling, events, and other duties.

 

Assist Student Development with:

  • Communication with students (email, call, text), tracking outcomes, tracking communication, logistics of events and meetings, maintaining files/spreadsheets, maintaining stock of pamphlets, packets, etc.
  • Retention Campaigns.
  • Attend staff meetings.
  • Participate in training and professional development.
  • Other duties as assigned.

 

Other Work Activities

  • Communicate clearly and professionally at all times.
  • Maintaining organized files and databases.
  • Managing multiple calendars at once.
  • Proctoring accommodated exams.
  • Use a variety of computer systems and application programs such as Microsoft Word, Excel, and Teams.
  • Follow general office procedures and use office equipment.
  • Demonstrate excellent customer service.
  • Work positively and effectively with a diverse population and to communicate clearly with native and non-native English speakers.

 

Other Work Activities Continued

  • Work independently and in teams while maintaining professionalism and modeling the colleges Guiding Principles.
  • Maintain professionalism and effectiveness in stressful situations.
  • Provide clear explanations of complex and technical information orally and in writing.
  • Work in a fast-paced office environment with many interruptions.
  • Perform duties with accuracy and speed.
  • Maintain confidentiality of student materials and student information.
  • Learn new adaptive technologies quickly and be able to show others to use them.

Required physical abilities, work schedule, and work environment

  • Requires sitting, keyboarding, or standing for extended periods of time.
  • Read aloud.
  • Scribe for students.
  • Visually monitor students taking exams.

 

Required education or certificates

  • Associate Degree in office management or related field OR high school diploma and equivalent experience.

Employment Terms

  • Starting monthly salary: $2,890 - $3,096.
  • This position is temporary which may last up to 18 months.
  • This position belongs to a unit that has negotiated a collective bargaining agreement.
  • Excellent benefits package including medical, dental, life, and long-term disability insurance; paid vacation and sick leave; retirement plan options; optional credit union and tax deferred annuity programs. Peninsula College contributes $1,130.00 per month towards the cost of the Washington State employee insurance programs. The college also supports professional development.
  • Peninsula College is a qualified employer for the Public Service Loan Forgiveness program. If you work for the College full time, have had Direct Loans and are on an eligible repayment plan, you are eligible to apply.
  • Full-time employees are eligible to apply and participate in the Peninsula College Employee Tuition Program.
