Job Description

 

Financial Aid at Santa Fe College assists students and their families by providing financial assistance to help cover educational expenses and related costs.  Financial Aid receives, processes and disburses various types of financial aid, including grants, loans and scholarships based on federal, state and college policy.

The Office of Financial Aid is seeking an Associate Director to help manage office compliance and training, as well as oversee office operations and processing.  It is the job of the Associate Director to internally supervise and motivate a team while externally facilitating exemplary service to Santa Fe College student and families.

 

Responsibilities and Duties

 

  • Provide leadership and direction for the Financial Aid office, especially in the absence of the Financial Aid Director.
  • Assist in the development of institutional policies and procedures based on federal regulations, guidelines, and professional literature.
  • Keep up to date and abreast of changes to pertinent legislation and regulations concerning Financial Aid.
  • Act as a resource for clarification and information.
  • Oversee all operations and processing to ensure proper disbursements of federal, state and agency funds to a diverse community of students.
  • Collaborate with the Director of Financial Aid to develop, implement and maintain internal controls and procedures across campus to minimize exposure to risks.
  • Establish institutional policies and procedures, such as those related to Satisfactory Academic Progress (SAP), Professional Judgement and Dependency Override processes.
  • Provide support for all internal and external federal and state audits.
  • Track data to prepare and compile reports.
  • Provide action plans, resources, training and for the performance and professional development of the financial aid team.
  • Oversee the return of Title IV calculations, grant recalculations and ineligible disbursements to resolve the over awards and over payments.
  • Develop working relationships with internal and external partners, as well as various college departments, staff and faculty ensuring they are provided with the financial aid support needed.
  • Assist with presentations related to financial aid information as needed, including some evening and weekend events.
  • Provide up to date, accurate and complete information to students and parents as needed during peak seasons.
  • Assist with complaint escalation as needed.
  • Strictly honor the privacy and security of student records and other sensitive information according to appropriate state, federal and college regulations, policies and procedures.
  • Maintain confidentiality and comply with Financial Aid administrators professional code of conduct.
  • Serve on division and college-wide committees.
  • Provide service excellence through courteous, informed, accessible and professional engagement.
  • Maintain a flexible schedule including evening and weekend availability.
  • Perform other duties as assigned.

Reports to: Director, Financial Aid

 

Qualifications

 

Required:  A Bachelors degree in Finance, Business Administration, Public Administration or a related field with at least three (3) years of closely related work experience in Financial Aid, Higher Education, Business, Finance-related fields or another related area.  At least three (3) years of direct supervisory, office management or project management is also required. 

Additional Requirements: A criminal background check will be conducted.

Preferred:  A Masters degree with five (5) years of direct, supervisory, office management or project management in a college setting is preferred.  Recent experience working in a semi-automated financial aid or other Student Affairs office, as well as experience working in an institution with extensive student contact are also preferred.
