The School of Arts and Sciences (SAS) at Rutgers University is the largest academic unit of the University and is comprised of 41 academic departments spanning humanities, social, physical and life sciences and over 100 different majors, plus programs, centers, bureaus and institutes. Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator II.
Among the key duties of this position are:
  • Provides confidential and coordinating support to the Department of Latino and Caribbean Studies and all affiliated programs,
  • Provides administrative support to the LCS Chair, Undergraduate Director, LCS faculty and staff, and operations of affiliated programs.
  • Organizes, coordinates, and implements the administration of the Department, and its affiliated programs.
  • Facilitates and implements departmental guidelines and procedures, related to all majors and minors, recruitment events and marketing brochures, general advising, registration, and commencement initiatives.
  • Responsible for the planning and execution of meetings, special programs, and events including travel arrangements and visas.
  • Provides general office support to the department and affiliated programs including but not limited to document creation, proper routing of correspondence, file and records management and retention, and calendar/schedule management.
  • Responsible for updates and maintenance of departmental/program websites.
  • Responsible for the administration of travel logistics in line with the most current policy and the preparation of travel and expense reimbursement processing, where appropriate.
  • Work is consistent with a basic understanding of the mission, vision, role, and goals of the Department and is performed under direct supervision of the Department Administrator Supervisor.

Qualifications


Minimum Education and Experience
  • Bachelor’s degree in a related field or an equivalent combination of education and/or experience
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Knowledge and understanding of college academic and student affairs, office administration, work organization, coordination, facilitation, and bookkeeping.
  • Proficiency with MS Word, Excel, PowerPoint, email, and website maintenance software. Candidate must be comfortable working on multiple projects and priorities and should function well in a team environment.
  • Effective client service skills.
Preferred Qualifications
  • Website (content) maintenance system and software, Degree Navigator, SciQuest, Cornerstone Systems (Oracle, HCM, etc.) is preferred.
  • Prefers two years relevant experience in an administrative function.
  • Department works closely with vendors from Spanish-Speaking countries, therefore, bilingual candidates are strongly encouraged to apply.

  • Microsoft Office, SAS Systems, Cornerstone, Degree Navigator, SciQuest, cloud-based storage, and other SAS-specific systems
Physical Demands and Work Environment
  • Ability to travel to all RU-NB schools. Valid Driver’s License and use of a reliable automobile. Ability to lift up to 25 lbs.

Immunization Requirements


Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster upon eligibility and upload proof of same.
