Job Summary

Under minimal supervision, provides secretarial and administrative support to the Associate Provost for Learning Advancement and the units that include the Office of Learning Advancement. The administrative assistant handles work of a highly confidential nature. This position is responsible for all office budgeting, recordkeeping, travel, inventory management, grant management, calendaring, purchasing, assessment, and supporting Provost Office initiatives like the Provost’s Graduates of Excellence and the Distinguished Faculty Lecture. This position serves as recording secretary to committees and staff meetings. As needed, supervises work-study, full-time, and part-time employees. The Office of Learning Advancement encompasses General Education, the Honors Program, the Interdisciplinary Studies Program, the e-Portfolio Office, the Engaged Learning Office, the Open Educational Resources (OER) Office, the Learning Outcomes Assessment Office, and the Prison Education Program.

Essential Responsibilities and Duties

Manage general affairs of the Office of Learning Advancement, including its subsidiary units (General Education, Honors, Interdisciplinary Studies, e-Portfolio, Engaged Learning, Open Educational Resources, Learning Outcomes Assessment, and Prison Education). This work includes budgeting, record keeping, travel arrangements, inventory management, grant management, calendaring and scheduling, purchasing, assessment, supporting initiatives, implementing new procedures, receiving and distributing mail, and maintaining historical records and documents.
Coordinate all aspects of event planning (Provost’s Graduates of Excellence, Distinguished Faculty Lecture, Engaged Learning Showcase, etc.) including space reservation, notices and invitations, planning and arranging meals and programs, and making arrangements for speakers if needed.
Provide outreach and support including assisting in the e-Portfolio Lab, tabling for study abroad trips, helping with Honors and Interdisciplinary Studies recruitment, serving as the curriculum tech for Honors and Interdisciplinary Studies, and serving as the backup support for faculty governance bodies.
Support assessment of General Education, Honors, and Interdisciplinary Studies programs, including working with administrators of those programs to design data gathering and analysis tools, and troubleshoot data issues.
Other duties as assigned.

Minimum Qualifications

Minimum of two (2) years of post-high school education (60 completed credit hours)
Three (3) years of direct, paid, full-time work experience in an office environment.

One year of education equals 45 quarter or 30 semester credit hours.

Part-time related work experience may be substituted for full-time work experience on a prorated basis.

•Business English, math, spelling, punctuation, proofreading, and vocabulary skills.

•Organizational skills/general office procedures and methods.
•Word processing, spreadsheet, email, scheduling, and database management software (Microsoft preferred).
•Knowledge of general office methods, operations, policies and procedures.
•Knowledge of general accounting practices, budget preparation, and management.
•Meeting management to include scheduling, agenda preparation, taking, editing, and distributing minutes.
•Produce quality written work to meet specific deadlines.
•Follow written and oral instructions effectively.
•Organize and perform multiple clerical tasks effectively with minimal supervision.
•Handle a wide variety of people in a professional manner.
•Perform well under pressure, including appropriate prioritization and meeting deadlines.
•Communicate effectively and display strong interpersonal skills.
•Supervise part-time employees or work study students.
•Work with and safeguard highly confidential information.
•Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
•Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
