Job Description

The Project Coordinator for Health Professions is responsible for coordinating major projects for the Health Professions division by developing goals and objectives, long-range plans, grants, operating policies, and procedures. The Coordinator directs assigned positions in implementing procedures to accomplish projects and support program and/or division objectives. They prepares and administers budgets, evaluate project, program, and division projects, ensures compliance with all accreditation and project or program requirements and local, state, and federal agency regulations and/or policies and procedures The Coordinator may act for the dean or associate dean in their absence within defined scope.

 

Essential Functions:
  • Lead the work of all division administrative staff.
  • Implements procedures to accomplish program objectives and maintain accreditation standards for each program, while ensuring compliance with all program, local, state and federal agency regulations, policies and procedures, including contracts for clinical facilities.
  • Coordinate projects and programs for the Health Professions division including an off-site dental clinic.
  • Support dean in the development and administration of budgets.
  • Develop, implement, and track grants, inter-governmental agreements, operating budgets, student income budgets and foundation funds.
  • Create and process purchase orders, maintain purchase cards, oversee the division purchasing process and facilitate the purchase of equipment, materials, and supplies.
  • Create travel requests, request advances and settle travel reconciliation upon completion of travel.
  • Settle, approve, and process completed travel for all Health Professions faculty and staff.
  • Manage the division deans calendar, schedule, engagements, and travel.
  • Coordinate and prepare reports for the Dean and develop and maintain confidential reports and documents.
  • Work collaboratively with other staff and student support staff and provide backup as needed.
  • Coordinate legal and contractual issues.
  • Organize, create, and distribute key, complex reports with a high degree of accuracy.
  • Develop and distribute correspondence and communications from the dean.
  • Research and provide response to various requests for information.
  • Manages assigned projects for the dean, such as strategic division planning, program accreditation, advisory committee and conference presentations, and special projects and initiatives.
  • Accountable for projects as assigned, and must work independently and autonomously while meeting deadlines and productivity expectations.
  • Course administration including class building for programs as well as off-site cohorts.
  • Coordinate curriculum approval.
  • Work with program coordinators to review and implement student fee implementation and changes.
  • Chair hiring committees.
  • Coordinate, lead, create, and process PAFs or PTSOAs and monitor payroll processes, as required. Track Time & Hours for PT Hourly Employees.
  • Problem solve and manage sensitive information with appropriate awareness of FERPA standards; maintain confidentiality and sensitivity to the privacy needs of students.
  • Other duties as assigned.

Supervision Statement:
Reports to and works under the overall policy guidance of Dean of Health Professions. Work is performed independently based on previous knowledge and professional judgment, according to local, State and federal regulations, applicable laws, College policies and program guidelines. Work is reviewed by the supervisor for the effective coordination of the project/program and the quality of services provided to the target population by staff.

 

Physical Demands/Working Environment:
This position works indoors and is exposed to usual office working conditions that includes office noises and interruptions, such as printers, telephones, and visitors. This position requires that an employee be able to sit or stand for extended periods of time; perform cognitive and psychometric work for more than six (6) hours a day. Work may require transporting materials up to twenty-five (25) pounds.
