Under limited supervision provides secretarial and general administrative support to the Associate Dean.
Essential Responsibilities and Duties
Processes fiscal and budgetary documents including but not limited to: SLCCBuy and Pcard purchases and reports; travel requests and settlements; mileage and expense reimbursements; gift card allocation to approved guest lecturers and others; awards and honorariums as approved; budget maintenance and oversight for indexes; grant proposal budgetary reviews; journal entries and transfers; end-of year accounting; payroll input and proxy as requested; overload contracts, teaching agreements, monthly hourly tracking for adjuncts for Affordable Care Act guidelines; submission of program coordinator and clinical coordinator pay; documents for one-time payments, PAFs, RFPs MOUs, and stipends, all as approved by the Associate Dean.
Performs clerical functions including but not limited to: semester load doc management, overload contract drafting, teaching agreements submission, monthly tracking for Affordable Care Act hourly limits; file management and organization including faculty files and archives; minute-taking; tenure document filing and evaluative meeting scheduling; search committee paperwork generation and dissemination; desk manual updates, and completion of faculty new hire and separation forms all as approved by the Associate Dean.
Collaborates, participates, and plans for program, division, and school events; basic and general on-boarding for new employees; class status report collaboration with scheduling; division student adds/drops all as approved by the Associate Dean.
Disseminates general information such as notices for division and school events, and other information as assigned by the Associate Dean.
Other duties as assigned.

Minimum Qualifications
Two (2) years of post high school education totaling at least 60 completed credit hours.
Two (2) years of related, paid, full-time work experience in an office administration environment.

Preferred Qualifications
Experience working in an higher education.
Experience working in an executive office support position.
Knowledge of Banner or related platform.

Excellent writing skills and attention to detail required.
Compile reports, meeting minutes, confidential documentation related to department.
Work with and safeguard confidential information.
Knowledge of preparing budgets and accounting.
Review documents for compliance with accrediting and standards body.
Ability to work in a fast-paced demanding environment and the ability to multitask quickly and efficiently.
Knowledge of general office procedures and methods (including using Microsoft Office products: Word, Excel, PowerPoint, Outlook and the Internet)
Good communications/human relations/customer service skills to relate with a variety of people.
Follow written and oral instructions effectively.
Provides technical assistance to faculty on matters related to documentation of accreditation, standards and procedures.
Gather and organize data for accreditation reports with assistance of the Associate Dean.
Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
