Mornings, part-time position, under the direction of the Associate Dean of the Division of Health Professions, responsible for manning the division’s front office and providing program support.
Essential Responsibilities and Duties
Performs essential office staff functions, including but not limited to screening telephone calls, taking messages, performing routine clerical functions which may include copying, scanning, filing, printing, producing finished quality memoranda, documents, correspondence and reports using Microsoft Office Suite, network systems, and Share Point. Additional staff functions include disseminating information regarding programs, scheduling meetings, maintaining files, entering data, keeping schedules and calendars, receiving and distributing mail, organizing meetings, taking minutes, opening/closing the office, unlocking/locking files and secure areas. Keeps a desk manual current for the position.
Provides support to program faculty with a semester review of syllabi for compliancy with statements and other requirements.
Completes equipment transfers and handles surplus for the division.
Identifies and submits for workroom supply and equipment needs.
Performs yearly capital and computer inventories for the division and programs therein. Assists program coordinators with departmental inventories. Maintains a division inventory.
Oversees the ordering of textbooks for faculty desk copies. Coordinates program textbook needs for the bookstore and library.
Completes purchase requests.
Serves as secretary to the division programs advisory meetings scheduled in the mornings.
Cross-trains with other division office staff to adequately perform their duties in their absence.
Must obtain and keep a current food handler’s permit.
Will perform other duties as assigned.
Minimum Qualifications
One year of post-secondary education
Two years of related full-time paid work experience in an office or its equivalent.

Greater than one year post-secondary education and
Over three years of related full-time, paid work experience in an education or health care setting.

Knowledge, Skills & Abilities
Experience with common software programs, word processing, spreadsheets and data systems. Working knowledge and skills of Microsoft Office Suite, Windows, network systems, electronic mail and voice messaging, and data usage and entry.
Must be able to work with confidential documents and maintain confidentiality.
Must be able to perform clerical tasks effectively under stress.
Must have effective communication, customer service, and diplomacy skills.
Displays critical thinking, interpersonal problem solving, and public relations skills.
Follows directives, communicates well, is respectful, and possesses a positive demeanor.
Has a knowledge of general office procedures and office equipment. Performs duties as outlined above.
Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
Ability to work with all groups in a diverse academic, socioeconomic, cultural and ethnic background of community college students, faculty and staff, including those with disabilities.
