Job Summary

Under the direction of the Assistant Registrar, coordinate the workflow and daily operations of the Registration, Records & Data Management group including hiring, training, supervising and evaluating full-time and part-time employees to assure that policies and procedures are followed; student data is maintained with integrity; and student needs are met.

Essential Responsibilities and Duties

STUDENT DATA FOCUS: Provides focus and liaises with campus constituents regarding the student lifecycle area of emphasis (application through completion). Provides an analysis of data and information in order to make and communicate appropriate decisions, processes and records efficient and accordingly. Demonstrate strong understanding and knowledge of policy and procedure. Determine and ensure accuracy of student information and academic history; understand course descriptions, credit hours, programs, majors, and schools. Create, manage, and generate Cognos reports for term processes. Develop reports, charts, graphs and tables as requested for Student Affairs. Access multiple large educational databases to provide office with requested data and reports; assist with ad hoc reporting.

RECORDS MANAGEMENT: Analyzes, processes and troubleshoots student educational records associated with the full student lifecycle (application through completion). Coordinates a wide range and large volume of term processes and procedures completed every semester that impacts registration, program of study update, transcript evaluation, enrollment verifications, grade changes, attendance, and graduation. Monitor data quality issues to identify and resolve any errors in collected data and interpret data to identify areas for improvement based on deficiencies. Upholds and follows all college policies and procedures for a consistent and fair application.

PROCESS IMPROVEMENT/COMPLIANCE: Continuously monitors and evaluates the effectiveness of registration, records and enrollment processes, recommending and implementing approved changes that would improve effectiveness and efficiency while improving the student experience. Regularly completes record reviews for accuracy and error/exception audits to identify, update, and ensure consistent and compliant student records. Develop systems that address efficiency and effectiveness and lead initiatives to improve operations utilizing technology. Trouble shoot technical problems related to Banner, Axiom, and Etrieve

EVENTS: Assists with events related to enrollment as needed (i.e. set-up, logistics, clean-up, serving as a greeter or office representative, etc.). Serves as a ORAR representative at training events, including speaking to large groups of faculty/staff and represents ORAR as required on College committees.

Build rapport with College departments. Develop and maintain cooperative relationships with individuals, groups and associations within the college community. Represent ORAR on various college committees; represent College in state and regional organizations.

Minimum Qualifications

  • Bachelor’s degree (120 credit hours completed).
  • Banner experience.
  • Two (2) to four (4) years of direct, full-time work experience.
  • Substitutions of education/experience acceptable on a 2:1 basis.
  • Part-time related work experience may be substituted for full-time experience on a pro-rated basis.

Preferred Qualifications

  • Higher Education work experience.
  • Demonstrated understanding of the application of technology to deliver registrar services.
  • Experience administering complex processes and making independent decisions.
  • Experience training and developing policies and procedures is preferred.

Knowledge, Skills & Abilities

KNOWLEDGE:
  • Standard college and enrollment services policies and procedures.
  • Computerized information and imaging systems; preferably Banner, SIS, preSIS and Etrieve. Operations and procedures for admissions, registration, transfer evaluation, graduation and records.
  • Relational databases, query languages, spreadsheet and word processing applications; a command of SPSS, SAS, or the equivalent
  • Computer Technology (UNIX, Database, Scripting).
  • Computer databases, records maintenance and detail-oriented work in a compliance-driven environment.
  • Family Educational Rights and Privacy Act (FERPA).
  • PC compatible computer and Microsoft Office Suite (Access, Excel, Word, and Outlook). Windows, Adobe and internet, email, fax, phone and scanners.

  • Logical problem solving, with the ability to thoroughly research issues and analyze various types of information.
  • Critical thinking; using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
