Job Summary

This position provides advanced administrative support and duties related to scheduling, rentals, student life and student, faculty and administration support for the Southlake Campus and CLC Online, requiring experience, skill, the use of discretion, and knowledge to perform a broad range of complex office responsibilities including business processes, campus-wide coordination and other departmental duties.

Required Qualification

1. High School Diploma or equivalent.
2. Significant administrative support experience in an office setting.
3. Excellent organizational and communication skills.
4. Experience working with advanced features of Microsoft Office software.
5. Demonstrated ability to relate effectively with a diverse customer base.
6. Ability to work with confidential information.

Desired Qualifications

1. Administrative Office Systems/Office Technology certificate or other college coursework.
2. Experience working in a team-based, collaborative environment.
3. Bilingual in Spanish and English

Summary of Essential Functions

Department operations/processes: 75%
1. Performs college business procedures including purchasing requisitions, payment requests, waivers, and other related forms.
2. Coordinates with vendors to secure agreements and required documentation, process documentation through proper institutional channels, enter requisitions, and submit invoices for payment.
3. Coordinates catering; connects with clients, inputs catering orders in 25Live Pro, prepares invoices and contracts and confirms catering orders with Auxiliary Services and vendors.
4. Provides direct support for campus scheduling and rentals including responding to internal and external customer inquiries, generating and analyzing reports, and ensuring requests are fulfilled utilizing PeopleSoft, 25Live Pro, Microsoft Office® products and other software programs.
5. Serves as primary content editor for the Southlake Campus and CLC Online webpages.
6. Assists in planning and coordinating meetings and events in collaboration with the Southlake Campus and CLC Online leadership team.
7. Assists in maintaining calendar of events, appointments, meetings and travel arrangements and documentation for departmental staff.
8. Orders and tracks supply inventory for Campus and Student Support Center and Southlake Faculty Center.
9. Coordinates outreach communications to south Lake County businesses, K-12, libraries, park districts and other partner constituents.
10. Manages campus-wide service and repair issues related to college equipment including copiers, vending machines and scantrons.
11. Monitors project progress, ensures quality, timeliness and identifies issues in relation to goals set forth by the Southlake Campus and CLC Online leadership team.
12. Drafts and prepares various correspondence, minutes, memos, and maintain databases and reports with internal and external customers.
13. Organizes, updates, and maintains office files, manuals, and records.

Customer Service: 20%
1. Represents the Southlake Campus to students, visitors, faculty, administrators, other internal partners, the community and rental clients; responds to and resolves customer needs and concerns.
2. Provides instructional support for faculty teaching at the Southlake Campus resourcing needs related to classrooms, technology, supplies and other requests.

Other: 5%
1. Performs other duties as assigned by the Southlake and CLC Online leadership team.
2. Represents the Southlake Campus on institutional committees as needed.
