Position Summary

Purpose, Scope & Dimension of Job:
The person in this role functions as the main Assistant to the Dean of the Technology Division with minimal daily supervision. This person is responsible for the implementation of protocols necessary to maintain a division office that functions at a high level. This person is responsible for supporting the Dean and Technology Division faculty, staff and students.

The person in this role will support activities related to the Technology Division office, including current and emerging programs. Programs housed in the division include Applied Technology, Automotive Technology, Computer Aided Draft and Design (CADD), Electronics and Electrical Technology/Robotics, Heating, Ventilation, Air Conditioning and Refrigeration (HVAC-R), Information Technology (including: Application Developer, Data Analytics, Computer Information Systems, IT Generalist, IT Networking, IT Security, & IT Web Developer), Mechanical Operations Technology, and Welding.

The person in this role will be in regular contact with representatives from internal and external organizations that have students in credit and noncredit training programs in the Technology Division (Organizations such as Job Corp, Apprentice Related Instruction and Mott’s Workforce Development etc.).

There are currently 11 AAS programs of Study and 21 Certificates of Achievement. Employees of the Technology Division include full-time and part-time faculty members, full-time staff, technicians, and work-study students.

This employee will participate in a team environment that involves presenting a warm and inviting atmosphere for the Division. As a primary point of contact for the Division, the person in this position works as an integral team member along with the staff assistant, pro-tech lab technicians, student workers and the Dean.

Minimum Requirements

1. Associate Degree.
2. Two years of prior related administrative support experience; such experience to include independent decision-making, problem solving, dealing with high volume and complexity, and coordination responsibilities.
3. Experience in using Excel, Word and Google Suite.



Additional Desirable Qualifications

  1. Recent coursework toward a Bachelor Degree.
  2. Experience working in a higher education institution.
  3. Experience with Colleague, Compas or other related software.
  4. Ability to perform multiple tasks simultaneously, prioritize accordingly and display strong organizational skills; self-motivated.
  5. Ability to make independent decisions and problem solve with some guidance.
  6. Possess strong follow-through and follow-up skills; must be tactfully and diplomatically assertive.
  7. Experience in data entry, word processing and ability to produce lengthy documents that require accuracy in proof-reading and strict attention to minute detail with minimal supervision.
  8. Experience working in an environment without detailed direction; self-motivated.

Physical Requirements/Working Conditions

  1. Must be able to remain in a stationary position for prolonged periods.
  2. Requires the ability to move about inside the office and occasionally traverse across campus.
  3. Must be able to move items weighing up to 50 pounds.
  4. Must be able to communicate effectively with faculty, staff and the public.
  5. Constantly operates a computer and other office equipment.

Work Schedule

Full-time, regular position. Non-exempt for purposes of FLSA. Ability and willingness to work varying hours including some evenings.
