Montgomery College, Takoma Park/ Silver Spring campus has an immediate need for a full-time Administrative Aide I position in the Public Safety and Emergency Management department. The work schedule is Monday through Friday, 8:30 a.m. – 5:00 p.m. /40 hours. This is a bargaining, non-exempt, grade 15 position. For non-exempt positions, you are not eligible to work a secondary job at Montgomery College. Duties include but are not limited to:

  • Provide customer service on behalf of the department to the college community.
    • Responds to telephone, e-mail, and in-person queries from students, parents, faculty, staff,
      and the general public about various college processes with regard to public safety programs, services, and general college information.
    • Draft a variety of documents to ensure a sufficient amount of student information is available at the beginning and throughout each semester.  
    • Supplies the office with forms, informational brochures, and flyers to disseminate to staff, faculty, students, and the general public pertaining to events, programs, procedures, or deadlines.
    • Scan and e-mail special parking pass upon request and maintain a supply of regular parking passes to be used by Public Safety staff.
    • Takes requests for doors to be opened or locked and other public safety-related functions from walk-up customers.?

  • Works closely with the Public Safety Manager to ensure the successful functioning of the Public Safety Office and provide clerical, administrative, and purchasing support for the department.
    • Check with Facilities for contractors signing out keys and update the key log to reflect such information.
    • Assist with management of the Lost & Found program by maintaining the item log, organizing storage, researching and contacting owners when possible, and assisting with the retrieval of property.
    • Check e-mail daily for requests and to keep abreast of current issues and events. Communicates with leadership and colleagues to ensure all parties are aware of pertinent information.
    • Tracks and monitors office supply inventory and arranges for replenishment of items as necessary.
    • Regularly check the file drawer to make sure sufficient copies are available of all regularly used forms and keep the Office Folder updated with weekly information.
    • Receives/routes mail and packages and directs items to other staff or units of the College.
    • Assist in scheduling meetings, and setting up Zoom/Teams meetings.
    • Administrative support on Scheduling, Leave Calendars, using OneDrive.
    • When necessary, approves Payroll by the deadline.
    • Ensure incident reports have all required information, proofread, and edit for grammatical errors and accuracy.
    • Ensure incident reports are distributed properly and maintain and manage the files of hard copies.
    • Update the Incident and Crime Log each day.

  • Manage the Student ID Office and Emergency reports
    • Assist in issuing Student Identification cards. 
    • Monitor and order supplies for the Student ID office.
    • Report issues to IT and help troubleshoot issues pertaining to the ID system and student information.
    • Assist the office by properly documenting and sharing emergency information with the appropriate stakeholder.
    • Builds and maintains strong relationships with the stakeholders to contribute to the department’s culture.

Required Qualifications:

  • Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship
  • High school diploma or GED, including or supplemented by courses in word processing and office practices.
  • At least one year of progressively responsible experience performing general office and secretarial duties involving customer service.
  • At least one year of administrative duties experience.

Salary Range: $18.01 to $22.51 (hourly).  Initial salary placement is based on candidate experience and internal equity.
