We have an exciting opportunity for an Enrollment Compliance Technician located at our campus in Menifee, CA. Under general supervision of the Dean, Student Services and Enrollment Services Director, the Enrollment Compliance Technician/Program Support Specialist evaluates and analyzes student academic records to determine eligibility for degrees and/or certificates, and prepares certifications for general education transfer requirements.  Ensure functionality and maintenance of degree audit system.  Responsible for OnBase transcript capture (automated transcript evaluation system) which supports course equivalency database to establish pre-requisites and facilitate student education plans.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements and duties does not exclude them from the position if the work is similar, related, or a logical assignment to this class.

  • Analyze and evaluate student records, transcripts from other institutions and high schools, course descriptions, course sequencing, program requirements, course levels, formal detailed evaluations of incoming transcripts, unit values and grading systems,
  • Verify the institution's accreditation status to determine equivalencies to MSJC coursework utilizing various resources such as online proprietary databases, college catalogs, and other public websites and archives and posts appropriately to student's file
  • Perform academic renewals, generate course substitutions and equivalency requests, post corrections for repeats, etc., to academic records
  • Monitor, review and maintain file of articulation agreements with California State University (CSU), University of California (UC) and California community college system
  • Clarify and interpret agreements for advisors and counselors; apply the articulation agreements to the advisement and evaluation process of general education certification and degree and certificate completion
  • Monitor and stay abreast of updates to catalog regarding degree and certificate requirements, course additions and deletions, course numbers, titles, content and unit values as well as updates in District policies and procedures, general education and transfer credit policies, curriculum and articulation updates and current and emerging technologies
  • Update degree audit system accordingly; evaluate student applications for certificates and degrees, notify student of status and eligibility for completion, maintains access database of graduates from which end-of-year reports are prepared
  • Track student to completion or cancellation, award (post) student degrees and certificates to the student's academic record
  • Order and distribute diplomas and certificates to awardees
  • Synchronize with student services for commencement for the rehearsal and commencement ceremony
  • Provide lists of potential graduates for rehearsal, bookstore and commencement program; coordinates student check-in at rehearsal
  • Order diploma/certificate covers for commencement
  • Verify the accuracy of information which is reported on student transcripts and degree audit, authenticates the coursework to meet the requirements for the completion of degrees and certificates utilizing degree audit for courses taken within MSJC and other available resources for courses taken at other institutions.
  • Review and assess requests for adjustments to student academic records in compliance with state regulations, district policies, and with the best interest of students in mind
  • Serve as a resource to students, academic counselors, Matriculation Specialist, and other student service staff
  • Participate in District-provided in-service training programs
  • Maintain a friendly, supportive atmosphere for students, staff, faculty and the public
  • Assist area administrators, in decisions as they pertain to student academic records, evaluation processes, and policies and procedures for graduation;
  • Participate in the evaluation for AA/AS degrees, certificates, CSU General Education (GE) Breadth requirement certification, and Intersegmental General Education Transfer Curriculum (IGETC)
  • Complete evaluation of unofficial documents for the Matriculation challenge of prerequisites
  • Perform special evaluations for health programs in support of three major health programs
  • Provide pre-qualification of science courses, verify RN students' eligibility for state licensure
  • Prepare letters, enter data to computer and purge files
  • Review and log in evaluation requests, preform back-up duties and functions for Enrollment Services Clerks

  • Gather and analyze data and present clear/concise information both orally and in writing
  • Establish and maintain cooperative working relationships with faculty, administrators, student organizations, private and public agencies and others
  • Plan and lead the work of others, where required
  • Overall operation, functions and programs of the college and the area to which assigned
  • Establish and maintain cooperative and effective working relationships with others, including those from a diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff

QUALIFICATIONS AND REQUIREMENTS

MINIMUM QUALIFICATIONS

  1.  A high school or GED; AND
  2. Three (3) years of college education; AND
  3. Three (3) years experience performing research, analysis and/or review in at least one student services program area (Enrollment Services, Counseling, Financial Aid, and/or Student Activities); OR
    • in a related field that will demonstrate possession of the knowledge and abilities necessary to meet the performance objective of the assigned student services program area; AND
  4. Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff.

SUBSTITUTIONS

Substitutions for meeting the minimum qualifications of this position are allowed, as follows:

  • Education beyond the three (3) year minimum and directly related to the duties described above, may be substituted for up to one (1) year of experience on a year-for-year basis
  • Additional specialized professional experience related to the assignment may be substituted for the education requirement on a year-for-year basis
