Job Description

Western Nevada College is recruiting for a NSHE Specialist 1. The ideal candidate will serve as the back-up for the Director and enforce, clarify, revise, and establish policy and procedures to maintain institutional integrity; research and resolve issues; produce and maintain training manuals for PeopleSoft; train staff; manage budgets and prepare reports; process travel claims. This role will oversee records management; audit files; provide support to faculty for class and grade rosters, class schedules, and class course permissions; evaluate, determine, and post transfer credit rules; provide leadership for day-to-day operations.

 

The NSHE Specialist 1 will supervise work-study, and temporary employees; prepare evaluations; ensure FERPA regulations are followed; assist students with questions regarding enrollment, registration, and other Admissions & Records functions. Additionally, this position will provide technical assistance troubleshooting technical difficulties for staff and students and test and troubleshoot new procedures, modifications, and upgrades. Applicants must have excellent technical skills, be detailed orientated, and be able to manage multiple tasks.

 

Additional duties and responsibilities of this roles are as follows:

  • Manage A&R budgets and prepare reports.

  • Provide efficient services to students, the college community, and public.

  • Consult faculty and students to clarify responsibility of student versus instructor.

  • Research, compare, and/or evaluate NSHE and other college policies and procedures when revising or recommending policies at WNC.

  • Maintain and organize policy and procedure and business process guides.

  • Communicate changes to staff and the college community.

  • Develop, and revise office forms as needed.

  • Approve, deny, request additional documents, analyze signature, verify information and place hold on student records when paperwork or documents are not complete or have inaccuracies.

  • Process all department travel claims, adhering to college and NSHE travel regulations.

  • Work with NSHE to clear up duplicate student records and duplicate Social Security Numbers.

  • Notify NSHE when duplicate records are found. Represent WNC in state meetings regarding duplicate records.

  • Test and troubleshoot new procedures, modifications, and bundle upgrades in the test environment in PeopleSoft. Recommend changes and/or new business processes.

  • Receive data error reports and correct errors. Notify and train staff of errors to prevent future mistakes.

  • Provide support to Faculty for class and grade rosters, class schedule and class and course permissions.

  • Evaluate, determine, and post transfer credit rules.

  • Post credit to transcripts for High School Tech Prep students. Process grade changes and challenge exams.

  • Process repeat adjustments, academic renewals, and refund exceptions.

  • Create and post grade rosters for dynamically dated classes.

  • Create fast track and dual enrollment grade reports for distribution to staff and high school personnel.

  • Provide degree and enrollment reports to the National Student Clearinghouse on a bi-weekly basis.

  • Among other duties as assigned.

 

Required Qualifications

Bachelors degree from an accredited college or university and one (1) year of relevant experience; OR graduation from high school or equivalent education and three (3) years of program support experience equivalent to an Administrative Assistant III in Nevada state service which included applying complex laws and regulations, composing written materials and maintaining records; OR an equivalent combination of education and experience as described above.

 

Preferred Qualifications

  • Experience working in a higher education setting

  • Experience with PeopleSoft Student and Workday HR Financial Information System

  • Experience with TES (college source database to research course descriptions)

  • Experience with OnBase (database housing all scanned student records/documents)

  • Experience with academic advising and transfer credit evaluation

 

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

 

Compensation Grade

Grade 31 (Entry, Step 1 $20.97/hr - Step 05 $24.81/hr)
