NATURE OF THE POSITION

Under the direction of the Director of Admissions and Records, the Admissions and Records Evaluator will perform complex and technical duties involved in the analysis and evaluation of student records and transcripts in support of the development of comprehensive education plans, prerequisite clearance, and graduation.  Perform clerical duties involving admissions, registration, records maintenance, residency, and enrollment. Provide technical assistance and information to students, staff, and the public.

Examples of Duties

DUTIES AND RESPONSIBILITIES

  1. Evaluates incoming transcripts in support of the development of comprehensive education plans and placement recommendations, interpret course descriptions, analyze transcripts for courses and units completed, course level, content, unit value, and grading system utilizing a variety of resources.
  2. Develop course equivalency grids and inputs transfer course equivalencies in support of the development and maintenance of the degree audit system.
  3. Provide technical assistance and guidance to student, staff, counselors, faculty, and administrators in the interpretation and clarification of registration and prerequisite requirements and procedures.
  4. Processes graduation petitions and determines eligibility for certificates and degrees. Prepares graduation lists, diplomas and certificates for each semester. May consult with students regarding graduation when necessary. Computes statistical data from graduation and calculates cumulative graduation grade point average (GPA).
  5. Utilizes specialized computer programs for data entry and/or retrieval of all academic records including admissions application, registration, electronic transcripts, and degree audits, and other related confidential personal student information.
  6. May review and determine residency status of applications based on state residency requirements; refers difficult cases to supervisor for assistance and resolution.
  7. Responds to requests from other educational institutions and agencies regarding the verification of student status and student records. 
  8. Effectively utilized specialized scanning and archiving software to ensure compliance with Federal and State records retention policies for all student records.
  9. Process notifications of students’ academic probation and dismissal statuses. 
  1. Attends and participates in seminars, conferences, workshops, and other training sessions as appropriate to keep up to date with state and federal regulations and reporting requirements pertaining to Admissions and Records.
  2. Orders office supplies and performs general typing, filing and responds to all inquiries.
  3. Perform other duties as requires by the Admissions and Records Director.

Educational/Experience Qualifications

REQUIRED QUALIFICATIONS 

  1. Associate’s Degree from an accredited institution.
  2. Two years of related work experience.
  3. Ability to communicate effectively orally and in writing.
  4. Sensitivity to and understanding of the diverse academic, social economic, cultural, disability and ethnic backgrounds of community college staff and students.
  5. Ability to type 50 wpm.
  6. Perform duties requiring attention to detail.
  7. Establish priorities, work effectively and meet schedules in a timely manner.
  8. Ability to maintain confidentiality. 
  9. Proficiency in the use of standard office programs (e.g. MS Word, Excel, PowerPoint, Outlook), personal computers, and the internet. 
  10. Passage of the college’s clerical skills tests.

PREFERRED QUALIFICATIONS

  1. Bachelor’s degree in Accounting or Business Administration or closely related field.
  2. Prior experience in an institution of higher education preferably in Admissions and Records or Student Services.
  3. Knowledge of the California Education Code, Title 5, Chancellor’s Office administrative procedures, State and/or Federal law regulations and other legal parameters that affect the policies and practices of the Admission and Records department.

CLASSIFICATION/SALARY

  1. This is a 12-month full time classified position.  May include evening and weekend duty.
  1. Row 13 on the classified salary schedule.
