World Vision is hiring a Senior Executive Administrator to support the Senior Vice President of Marketing, Chief Marketing Officer.

01 At a Glance

Role: Senior Executive Administrator

Location: Remote from within the United States, within the Pacific Time Zone. Strong candidates in the Mountain Time Zone may be considered.

Required Experience: Associate's degree or equivalent work experience (4 years). In addition to education or education equivalent requires a minimum of 5-8 years of work experience in office administration, project coordination, operations or related field, preferably working with key constituents. Work experience supporting an executive staff highly preferred. Existing organizational knowledge of World Vision is strongly preferred. Proficiency in MS Office Suite required.

Salary Range: $27.50 - $42.00/hourly. Applies to locations with a market similar to our U.S. HQ in the Greater Seattle area. A different range may apply based on your work location. Typical hiring range is $31.00 - $37.50/hourly. Job offers within the range are based on relevant job qualifications and pay equity. 03 The Job As the Senior Executive Administrator supporting the Senior Vice President (SVP) of Marketing and Chief Marketing Officer, you will perform administrative functions requiring the use of initiative, discretion, and independent judgment for an executive leader. You will provide overall coordination of divisional and office staff, technical assistance, research and implementation of various projects. Functions include, but are not limited to: managing schedules, meetings, and travel itineraries, coordination of internal events on behalf of the executive leader such as division or cross-functional meetings, off-sites, trainings, etc., complete and/or coordinate cross-functional projects, develop reports, and prioritize and/or respond to communication requests. This critical role will require communication and interaction with internal contacts including the WVUS Presidents office, and external contacts including members of the WVUS Board of Directors, WV Partnership and WVI executives. This role will involve exposure to sensitive information, necessitating considerable use of tact, diplomacy, discretion and judgement.

The Senior Executive Administrator is an individual who is proactive, adept at problem-solving, holds stellar interpersonal and communication skills, comfortable using technology, and has a drive for excellence. The Senior Executive Administrator will help carry out our Christian organizations mission, vision, and strategies, and personify the ministry of World Vision by witnessing to Christ and ministering to others through life, deed, word and sign.

Responsibilities include:

  • Keep Christ central in individual and corporate life. Actively participate in and contribute to the spiritual disciplines of the organization (Christian conduct, devotions, chapel, prayer, worship); incorporate WV Core Values into decisions within scope of role.
  • Manage executive's schedule, ensuring meetings are prioritized and ensuring he or she is properly prepared for all meetings with required briefings and reports. Reschedule and prioritize commitments as needed to ensure key priorities are addressed in a timely manner.
  • Complete or coordinate the completion of assigned projects in support of division goals, ensuring project objectives and client expectations are met.
  • Perform research and prepare project reports on confidential and/or technical issues for leadership.
  • Arrange meetings and conferences, which may include development of agenda, presentation materials, event site, and food and beverage selection.
  • Prepare and edit internal and external reports and presentations as needed.
  • Make domestic and international travel arrangements including air, car, and hotel arrangements.
  • Review incoming correspondence and ensure appropriate and timely response. Use appropriate discernment and knowledge of organizational policies and practices to assess when to forward issues onto other leaders and/or to draft responses that appropriately and accurately represent the views of the executive.
  • Identify and lead process simplification and improvement initiatives within scope of role.
  • Maintain technical, confidential, and special project files in an organized, easy to use format.
  • Work collaboratively with team members when assigned to work as a member of a team.
  • Perform other duties as assigned.
  • Maintain awareness of corporate goals, objectives, organizational announcements, and activities. Reference and follow organizational policies and procedures, seeking clarity as needed.

  • Meeting Planning: Ensures all parties expected to attend the meeting are informed of timing, agenda and materials required. Procures materials/supplies for the meeting and ensures all logistical requirements have been handled.
  • Networking: Develops a broad network of contacts and utilizes it to get things done. Demonstrates awareness and understanding of informal networks, who does what and how things get done.

05 Salary Range & Benefits Your compensation and benefits are important to you so theyre important to us. The full range for this position is $27.50 - $42.00//hourly.
