Job Summary

The Office of Sponsored Projects (OSP) inspires superior grant practice by developing and maintaining a robust grant administration infrastructure at Salt Lake Community College (SLCC).

OSP is looking for a dynamic individual to 1) enhance the effectiveness of OSP, especially the Executive Director, by providing consistent, detail-oriented, high-level support, 2) maintain the efficiency of the department through oversight and performance of clerical duties, secretarial support, scheduling, activity, and meeting coordination, and 3) facilitate communication and coordination of OSP, within the department and between external parties, and 4) provide support in professional document creation & maintenance and oversee special projects, such as the Research and Grant Development Program

Essential Responsibilities and Duties

Create and maintain documents and oversee special projects.
Assist the Executive Director and OSP team in developing professional reports, high-level materials and other documents required for OSP operations and administration. This will include conducting informational research and basic analyses necessary to complete the documents This position will administer the Research and Grant Development Program, assist in relationship management and OSP visibility, support college processes and development for Department of Education and other federal designations, maintain the sponsored projects policy, and other projects.

Maintain the efficiency of the department through clerical duties, secretarial support, scheduling, activity/event, and meeting coordination.

1. Office Coordination: order supplies, maintain office equipment, track and manage inventory. Coordinate IT needs. Maintain office-wide calendars. Keep abreast of office deadlines, coordinate with staff and assist as needed to meet sponsored projects deadlines. Coordinate trainings, attend trainings, and stay informed on SLCC policies and procedures.

2. Facilitate document routing, signatures, and other processes. Prepare and maintain files and office documents, including standard operating procedures. Prepare, maintain, update and distribute reports, documents, tracking sheets, and master lists.

3. Prepare, edit and facilitate department communication serving as a central point of contact for the Office of Sponsored Projects.

4. Perform bookkeeping duties, track and reconciling department expenses, and maintaining office budgets.

5. Arrange, coordinate and reconcile travel for department staff.

6. Coordinate department sponsored meetings and events. Contribute to planning and promotion of such events.

7. Coordinate the creation and maintenance of forms, informational and promotional materials, digital information, and other departmental information. Work with SLCC marketing team as necessary.

8. Participate in training and stay current on electronic systems, software, tools and technology used by the Office of Sponsored Projects.

9. Provide consistent, reliable support for the Office of Sponsored Projects.

Enhance the effectiveness of the Executive Director and OSP department by providing consistent administrative support.

1. Under the direction of the Executive Director, support the department with scheduling, preparing for meetings, taking minutes, attending meetings, and preparing correspondence, presentations and other information.

2. Facilitate requests to/from the Executive Director and serve as a back-up contact for the Executive Director and other team members as needed.

3. Understand SLCC organizational structure, systems and processes that directly affect the Office of Sponsored Projects. Develop positive relationships within the College.

4. Understand and embrace the purpose of the Office of Sponsored Projects. Work to become familiar with the purpose, nature and administration of sponsored projects.

Facilitate communication and coordination of OSP, both within the department and between external parties.

1. Follow-up on tasks, schedules and other items. Support the Executive Director and others in the department in tracking various activities or tasks and maintaining a smooth flow of events and communication.

2. Take initiative to ensure administrative department activities function well and communications are provided to all stakeholders.

3. Maintain the department website.

4. Track various systems and operations; ensure the department is current with memberships, invoicing. and other related activities.

5. Update and provide regular reports on relevant department activities to the Executive Director; provide reports to the college community as assigned.

6. Work with other college departments to ensure smooth processing of administrative functions, such as Purchasing, Travel, Accounts Payable, etc.


Minimum Qualifications

Experience in administrative support, office management or business operations, project or event management.
Experience in conducting informational research and basic data analysis.
Experience in managing budgets.
Must have advanced knowledge of Microsoft Word and Adobe Acrobat, and some knowledge of Microsoft Excel.

Preferred Qualifications

Some college or associate degree.
Demonstrated ability to create high quality, professional documents.
Writing experience
Savvy with file creation and sharing and graphic design software, such as Google Drive, Sharepoint, Teams, Dropbox, Adobe Creative Cloud, etc.

Knowledge, Skills & Abilities

  • Highly detail oriented, including ability to consistently complete detail-oriented work effectively.

  • Professional communication skills, both written and verbal, with ability to converse and correspond professionally and comfortably with people at all levels, internally and externally.
  • Strong proficiency in Microsoft Office and Adobe Acrobat; ability to learn and use new technology applications and systems.
  • Must have high performance standards and be willing to improve.
  • Ability to maintain an optimistic outlook and attitude.
  • Ability to work in a team and independently; including ability to take initiative to complete assigned tasks.

  • Must be able to travel between SLCC campuses and other locations.
