Position Summary

 

This is a grant-funded position. Continued employment in this position is conditioned upon the College continuing to receive the applicable grant funding.

The Work-based Learning Coordinator collaborates with the ALAMAP Project Director to implement project activities at the college level according to the established project timeline. The coordinator ensures that the program provides a positive and successful learning experience for students while implementing strategies to increase student retention, success, and completion. The coordinator presents a comprehensive orientation program aimed at motivating and engaging new students. The coordinator assists students with goal setting and provides continuous communication and follow-up to maximize goal attainment. The coordinator performs tasks necessary for tracking and reporting of grant-funded activities and student outcomes in the AGS Prime tracking system. This position is also responsible for maintaining accountability in instruction and outcome-based reporting in accordance with the National Reporting System (NRS) guidelines. The NRS defines outcome, participation, and student descriptive measures and establishes state reporting requirements. The Work-based Learning Coordinator is responsible for maintaining information in the programs database. The coordinator assists with in-service training and monitoring of instructional delivery and methodology, as well as student outcomes. Additionally, the coordinator works closely with partner agencies and other departments of the College. This is a grant-funded position that is not tenure-track eligible.

SALARY SCHEDULE PLACEMENT: Range of $43,464 - $59,225 based upon the Alabama Community College System and Shelton State Community College Salary Schedule E3-3 to be determined by the applicants education and years of applicable experience. Applicant acknowledges that if selected for the position, that applicants placement on the applicable salary schedule will be dependent upon the verified information provided by the applicant in accordance with the applicable work experience verification requirements stated herein.

 

Essential Duties and Responsibilities

 

Primary Job Duties and Responsibilities:

  • Using the overall grant timeline, develop and implement a detailed timeline for project activities at the College that ensures the College meets predetermined performance expectations and provide status reports periodically and/or as needed to the Project Director
  • Develop, implement, and maintain a plan for communication (process and schedule for regular conference calls, emails, in-person meetings, virtual meetings, etc.) with all internal and external stakeholders
  • Develop, implement, and maintain a marketing plan for ALAMAP programs to include participant/employer(s) recruiting to meet ALAMAP goals
  • Provide and facilitate orientation sessions that inform potential apprentices about the ALAMAP Grant and available career pathways through apprenticeships
  • Collaborate and coordinate with the Colleges Grants Office, Office of Business Services, and the Alabama Community College Systems (ACCS) Chancellors Office to ensure timely and accurate reporting and submission of requests for reimbursement and time and effort sheets
  • Conduct frequent program assessments and share results with all stakeholders
  • Deliver presentations on the project wherever needed
  • Participate in activities and events that support the goals of the project (such as National Manufacturing Day events, Dream It – Do It events, etc.)
  • Create and maintain comprehensive project documentation for both internal review and external audits
  • Cooperate with and assist the Project Director and the Grants Coordinator in the ACCS Office of Instruction, Research, and Development in preparing and submitting required periodic progress reports to the grantor
  • Serve as the Colleges apprenticeship liaison with industry apprenticeship sponsors and, if applicable, the FAME chapter/board, ensuring effective communication and strong, productive relationships and recruit new employers as apprenticeship sponsors
  • Coordinate high school visits and attend college/career fairs to promote apprenticeship programs and recruit program participants
  • Provide participant tracking and case management for ALAMAP participants throughout the apprenticeship program, from recruitment through job placement in AGS Prime, including
    • Maintain records for all participants
    • Enter ALAMAP Intake forms on all participants
    • Administer exit surveys upon student completion
    • Collect and maintain program statistics and data
    • Enter case management and update as needed in AGS Prime
    • Enter exit and completion dates as they occur
    • Upload and enter certifications
    • Enter On-the-Job Training and Related Technical Instruction
    • Enter grant-funded student support awards
  • Coordinate the application, acceptance, and orientation of new students to Pre-Apprenticeships, FAME programs and other Apprenticeship Programs
  • Attend ALAMAP and/or FAME-related training and conferences/convenings
  • Prepare or assist in the preparation of materials used in ALAMAP and FAME instructional programs, including the ALAMAP program application, student intake forms, industry support letters, and curriculum, including certifications
  • Provide academic and career advice to students, encourage student leadership, and promote enrichment experiences
  • Administer the program for distribution of wrap-around student supports and provide referrals for students to sources of academic and personal support (both on-campus and external resource providers)
  • Communicate National Reporting System procedures with program faculty and staff
  • Maintain necessary attendance, scholastic, financial, functioning level gains (FLG), and personnel records and submit them according to announced deadlines
  • Attend National Reporting System training workshops and follow all NRS Reporting Methodology
  • Administer TABE and WorkKeys tests
  • Attend and represent Shelton State Community College at related outreach events, utilizing the Mobile Workforce Unit and software
  • Create, maintain, and implement on-site and virtual Ready to Work class offerings
  • Prepare and administer grants, projects, and reports as required
  • Demonstrate effective people skills, communication skills, and work ethic (i.e., preparation and punctuality)

Other Job Duties and Responsibilities:

  • Comply with policies of the Alabama Community College System and the College
  • Serve on College committees as required
  • Participate in professional development, compliance, performance excellence, and training activities as required
  • Represent the College at meetings of various groups and organizations dealing with assigned areas of responsibilities
  • Work with other agencies to deliver workforce development initiatives
  • Perform other duties as assigned

 

Qualifications

 

Required:

  • Bachelors degree from a regionally accredited institution
  • Teaching experience and/or experience conducting private industry training
  • Valid drivers license

Preferred:

  • Experience working within the private business and industry sector
  • Experience with WorkKeys and TABE testing

WORK EXPERIENCE VERIFICATION:

Meeting Minimum Requirements: If the requirements for a position list work experience in a field or area the Applicant must provide written verification(s) of their applicable work experience in order to be hired for the position. Salary Calculation: For all positions on all Salary Schedules, the salary amount for the selected applicant is determined by step placement on the applicable schedule. Step placement is dependent upon the following: (a) all work experience in public education in Alabama and (b) all other work experience outside of public education in Alabama that, in the sole judgment of the College, directly relates to the requirements of the position. The applicant selected for the position must provide written verification(s) of this work experience within the time provided herein if such experience is to be considered in determining their initial step place on the Salary Schedule.

Format for Work Experience Verifications: Work experience verifications should be in the form of verification letters from employers and must include complete employment dates, job title(s), job duties, and an indication whether such employment was full-time or part-time, and if part-time, the average number of hours worked each week. The letters should be on official letterhead and contain an authorized personnel signature. The Colleges official employment verification form is also acceptable and is available upon request. If an employment verification cannot be obtained due to a legitimate reason, for purposes of meeting minimum requirements an applicant may submit copies of other trustworthy documentation such as appointment letters, contracts, pay stubs, or W-2 forms documenting the term of employment. However, such documentation is generally insufficient for salary calculation purposes if job duties are not self-evident in the documentation.

Work experience verification from a current employer may, upon request, be delayed until an official offer of employment.
