We have an exciting opportunity for a full-time Scholars Program Assistant position located at our campus in Menifee, CAUnder the direction of the Dean of Student Services Athletics or designee, the Scholars Program Assistant works with the Scholars Program Coordinator by providing academic support services as well as student services to Mt. San Jacinto College student-athletes.  The Scholars Program Assistant will also assist the Coordinator in the evaluation, monitoring and development of the study lab, tutoring, and academic progress and life skills development for all student-athletes.  

ESSENTIAL DUTIES AND RESPONSIBILITIES

The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements and duties does not exclude them from the position if the work is similar, related, or a logical assignment to this class.

  • Serve as effective listener and academic coach
  • Provide referrals and resources, as well as encouragement and support
  • Communicate with the Scholars Program Coordinator at least once a week to discuss issues related to student success, barriers and blockers
  • Document student interactions with Student Athlete Scholars Program activities including Coordinator appointments and assigned tutoring hours
  • Follow up on student progress in academic courses and support enhanced skill development in student success, which shall include but will not be limited to:
    • College readiness, resources to support success, note taking, reading skills, learning styles, time management, thinking skills, test taking skills, effective  communication strategies, physical/mental health and career exploration
  • Assist with:
    • progress reports
    • instructor/student communication
    • documentation of program participation as needed
    • developing marketing materials, special event planning/coordination, scholarship development and program resource management
    • coaching staff with information dissemination through the recruiting and matriculation process
  • Act as a liaison between student athletes, coaches and Coordinators/ Counselors
  • As directed by the Athletic Counselor and Scholars Program Coordinator, the Scholars Program Assistant assists in group study sessions and tutoring
 
KNOWLEDGE, SKILLS, AND ABILITIES
The incumbent should possess knowledge of:
  • Correct grammar, spelling and punctuation
  • Office procedures, methods and practices
 
The incumbent should possess skills in:

  • Meeting schedules and timelines
  • Communicating effectively both orally and in writing
  • Maintaining documentation and records
  • Handling multiple assignments simultaneously and set priorities based on customer needs
 
The incumbent should possess the ability to:
  • Coordinate many different duties, determine the relative importance of each, set deadlines and complete projects accordingly
  • Learn independently
  • Interpret and apply a variety of complex academic and organizational policies and procedures
  • Trace clerical processing errors
  • Explain a variety of complex procedures and policies
  • Perform complex secretarial work involving independent judgment, accuracy and speed
  • Establish format and spatial relationships for correspondence, charts and reports using a typewriter, word processing, spreadsheet
  • and/or database programs
  • Prepare clear and concise correspondence of a routine nature
  • Screen mail, telephone calls and visitors
  • Perform arithmetic computations
  • Establish and maintain cooperative and effective working relationships with others, including those from a diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty and staff 

QUALIFICATIONS AND REQUIREMENTS

MINIMUM QUALIFICATIONS

  1. A high school diploma or GED; AND
  2. Three (3) years of professional, general clerical experience; INCLUDING
    1. one (1) year of administrative support duties; AND
  3. Demonstrated sensitivity to and understanding of the diverse academic, socioeconomic, culture, gender identity, sexual orientation, and ethnic backgrounds of community college students, faculty, and staff

SUBSTITUTIONS

Substitutions for meeting the minimum qualifications for the professional experience requirement are allowed, as follows:

 

  • Substitutions for the professional experience requirement are alllowed, up to a maximum of two (2) years; OR
  • A Bachelor's degree; AND
  • Three (3) months of professional experience as a peer tutor at a community college

DESIRED QUALIFICATIONS

  1. Professional experience with/in:
    • working with student athletes or participated on a competitive sports team
    • mentoring at-risk students
    • program development and implementation

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

  • Environment:  Work is performed primarily in a standard office setting with travel from site to site.  The incumbent must be able to work in a fast paced office environment with background noise and a high stress level.
  • Physical:  Primary function requires sufficient physical ability and mobility to work in an office setting and travel from site to site; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach and twist; to lift carry, push, and/or pull light to moderate amounts of weight up to 20 pounds; to operate office equipment requiring repetitive hand movements and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information.
  • Vision:  See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents; and to operate assigned equipment.
  • Hearing:  Hear in the normal audio range with or without correction.
