Job Description

ADMINISTRATIVE ASSISTANT 2, Chemistry, to provide complex administrative support for faculty. Responsibilities include email management; scheduling appointments; coordinating meetings, seminars, and special events; responding to inquiries, telephone calls, and visitors; copying correspondence and course materials; assisting with the preparation of research publications and grant proposals through MIT’s proposal system; maintaining up-to-date CVs, resumes, biosketches (NIH and NSF), and other administrative documents; anticipating and planning for scheduling issues, grant submissions, and meetings; coordinating travel arrangements for faculty, group members, and visitors; maintaining catalog of publications and lab rosters; gathering and organizing materials for and updating lab websites; acting as a resource for lab members regarding MIT-related issues; maintaining/organizing office area; coordinating salary assignments; managing credit card charges; handling JVs and requests for payment; reconciling accounts in compliance with financial review and control; ordering supplies; submitting change orders using SAP; performing financial management of general, fund, and research accounts; monitoring account activity and expenditures in compliance with sponsor guidelines and approved budgets; preparing monthly projections; processing travel expense vouchers and requesting travel advances; and performing other duties as requested. 

Job Requirements:
 REQUIRED: high school diploma or its equivalent; at least three years’ related administrative/office experience; strong analytical, problem-solving, decision-making, time management, organizational, communication, interpersonal, and customer service skills; ability to prioritize and function effectively despite frequent interruptions and deadline pressure; meticulous attention to detail; discretion with confidential information; and strong computer skills (Excel, Word, PowerPoint). Must be able to interact effectively with a diverse group of students/faculty/staff/visitors; work independently and as part of a team; and interpret, communicate, and apply policies and procedures. PREFERRED:  bachelor’s degree.  Job #22778-5
