Front Desk Associate

Under the direction of the Chief of Staff the Front Desk Associate serves as the main receptionist and first contact for Stamps School visitors, and provides administrative support and project coordination for the Stamps School Dean's Office.

You will work onsite in the Art & Architecture Building, with an anticipated work schedule of Monday-Friday, 8a-5p.

Responsibilities*

Front Desk Reception

  • Be the first point of contact for incoming visitors to the Stamps School Dean's Office
  • Record and receive reports of injuries and near misses. 
  • Be a member of Building Incident Response Team
  • Answer general questions involving admissions/recruitment, advising appointments, way-finding
  • Answer incoming calls and provide information to callers,
  • Coordinate transportation requests
  • Manage conference room reservation schedule for Dean's Office events/meetings
  • Evaluate incoming facilities requests, directing them to the Facilities Office

Dean's office support and project coordination

  • Perform general office responsibilities including drafting correspondence, copying/scanning, mailing, scheduling meetings, and making travel arrangements;
  • Help coordinate the logistics for meetings and events by making room reservations, coordinating AV needs, ordering food, distributing agendas, gathering materials, communicating with attendees
  • Distribute incoming mail for the Dean's Office 
  • Restock supply cabinet and refer ordering needs to the Stamps Finance Office
  • Special projects as assigned by Dean's Office staff and approved by the Chief of Staff
  • Special event staffing

Required Qualifications*

  • Bachelor's degree, or equivalent combination of education and experience
  • 1+ years Administrative assistant or customer service work experience (internships and student employment count)
  • Data entry experience
