Academic Advising Specialist

Department: Admissions

Reports To: Associate Dean of Enrollment

Job Classification: Exempt

Location: Marshalltown Community College, Marshalltown, IA

Summary: This position serves as an enrollment central point of student services contact for both current and prospective MCC students. Under the “one-stop-services” philosophy, provides support and services to on-campus and off-campus/distance learning students including: recruitment (on-campus, at high schools, businesses, and college fairs), admissions processes, placement testing, registration, financial aid assistance, academic and career advising, and retention efforts to meet the unique needs of students. This position is expected to provide support for any student who needs help when assistance is requested. This position actively supports our diverse students through targeted initiatives, programs, and translation.

Job Responsibilities:
  • Provides academic advising, registration, and support to current and prospective students including maintaining a current understanding of all education programs. Develops and maintains a broad knowledge of college student services and refers students for specific assistance. Provides advising and monitoring for assigned areas. Assists in planning, organizing, and administration of admissions policies and procedures. Assists and educates students on program requirements, graduation, and transfer and articulation information. Acts as a resource to motivate students toward positive experiences while enrolled.
  • Works with prospective students and families through the recruiting cycle to ensure all paperwork is received, processed, and all questions are addressed; assists students and visitors in person, by email, electronic means and over the phone. Organizes recruiting events for special populations and programs. Works with MCC foundation to assist with awarding Freshman scholarships. Assists with all aspects of college and departmental events and activities including but not limited to campus tours, career events, orientations, and financial aid workshops.
  • Understands the financial aid process to assist students with paperwork and questions. Assists students with filling out the Free Application for Federal Student Aid and completing institutional financial aid paperwork accurately and timely. Will assist local high schools with FAFSA events.
  • Serves as bilingual recruiter/advisor and assists college with diversity equity and inclusion initiatives.
  • Supports the overall success of the District by performing other duties as assigned.

Education and Experience: Bachelors Degree Required, Masters Degree Preferred.

Abilities:
  • Bilingual in Spanish preferred
  • Requires independent decision making, ability to exercise good judgment, and use of critical thinking skills.
  • Ability to work in a team environment with a customer service-oriented attitude.
  • May work in an environment of shifting priorities; frequent interruptions; hectic pace; and interaction with students, faculty, staff and/or the public.
  • Competency in working with computer software programs which may include Microsoft Office, Jenzabar EX, COMPASS, and other software.
  • Excellent written including proficiency in business English, grammar, punctuation, and spelling. Strong oral communication skills including one-on-one and large group presentations. Conversational Spanish skills desirable.
  • Ability to handle highly confidential matters and materials with discretion.
  • Ability to work independently as well as be a collaborative team player in completing assigned tasks and meeting deadlines.
  • Organizational skills, time management, relationship building and communication skills essential.
  • Valid Iowa drivers license.

Base Wage: $37,600-$50,000 - actual salary will be based on experience and education.
