POSITION TITLE: Staff Associate for Academic Affairs

DEPARTMENT: Academic Affairs

PRIMARY LOCATION: Fall River

REPORTS TO: Executive Dean



POSITIONS SUPERVISED: Student employees, such as but not limited to Work Study students or part-time temporary employees.

STATEMENT OF DUTIES:

The Staff Associate provides comprehensive, confidential administrative support for Academic Affairs. Typical duties include management of daily operations of the Academic Affairs front office, assisting academic leadership with functional needs, coordinating meetings and logistics, managing schedules, processing payments, and data tracking. The Staff Associate also acts as the area liaison with other Bristol offices, employees, and students. This position is responsible for communications, record-keeping, minute-taking, and budget monitoring as needed to support efforts in the Academic Affairs office to support the institution's strategic plan as assigned or delegated.

ESSENTIAL FUNCTIONS, DUTIES, AND RESPONSIBILITIES:

  • Assist Academic Affairs leadership with administrative processing and coordination related to incoming correspondence, front desk reception, and greeting/directing visitors as appropriate.
  • Contribute to the development and documentation of related policies, protocols, and procedures in the Academic Affairs procedure manual.
  • Manage online ordering, maintenance, and distribution of office supplies, as well as procurement of other external resources through the college's selected vendors.
  • Process requests for expenditure, stipends, and other various budget forms for Academic Affairs.
  • Schedule meetings, coordinate reservation of facilities, audio, visual, technical needs, and other support for Academic Affairs events.
  • Facilitate the provision of electronic meeting agendas, minutes, and associated team documents including Academic Leadership meetings.
  • Maintain electronic calendars.
  • Utilize the college's management information system software to run various reports and analyze data.
  • Collaborate and communicate with all areas of the college to ensure efficient support by and for the central Academic Affairs office.
  • Demonstrate high levels of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community.
  • Monitor Bristol app and Hawk Talk on the college website for students' concerns and issues, while providing guidance and direction in a timely fashion for any issues.
  • Provide flexible, responsive, and high-quality customer service to all whom we service, be it students, community, or staff.
  • Demonstrate a sense of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community.
  • Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions.
  • Perform other duties as assigned.

Job Requirements:


EDUCATION AND EXPERIENCE

REQUIRED QUALIFICATIONS:

  • Minimum of an Associate's degree from an accredited institution of higher education.
  • Two (2) years of administrative experience in an academic or social service environment.
  • Demonstrated proficiency in Office 365 applications.
  • Excellent verbal and written communication skills focused on service skills, demonstrated accuracy and dependability in the work environment, with strong attention to detail.
  • Demonstrated ability to exercise significant independent judgment.
  • Exercise discretion with sensitive information,

 

ADDITIONAL REQUIRED QUALIFICATIONS:

  • Experience and advanced knowledge of Microsoft Office Excel, Access, and Power Automate.
  • Strong analytical and reconciling skills.
  • Ability to function independently with minimum direct supervision.
  • Ability to work independently and in a team environment.
  • Ability to build relationships and maintain communication in a shared governance environment.
  • Proficiency in both oral and written communication skills.
  • Ability to exhibit and promote values of integrity, trust, confidence, loyalty, respect, and unity of self and others.
  • The ability to work effectively with a diverse student body, faculty, and staff.
  • Reliable transportation in order to travel to and from meetings, trainings, or campus and community locations as required.

 

PREFERRED QUALIFICATIONS:

  • Bachelor's degree in business, public administration, or education-related field.
  • Experience in central office environment.
  • Ability to communicate in a language in addition to English.

Additional Information:


POSITION STATUS: 
This is a full-time, non-unit position with benefits.

WORK SCHEDULES: Monday-Friday, mix of availability from 7:30 am-5:30 pm

SALARY: Minimum hiring salary $48,952.50 - 54,034.40; actual salary is commensurate with qualifications and experience.
