Position Summary

Delaware County Community College (DCCC), an accredited, associate degree-granting institution of higher education serving Delaware and Chester counties is looking for a dedicated and dynamic Administrative Assistant to join our team of higher education professionals who are committed to student success.

The Administrative Assistant for Dual Enrollment Pathways (DE Pathways) plays a crucial role in supporting the Pathway Program activities by providing administrative and clerical assistance for the program and directly to the DE Pathways Manager. The Administrative Assistant of Dual Enrollment Pathway Programs supports the Dual Enrollment Pathway Programs Manager in all aspects of Pathway program operations. This includes, supporting retention activities, student services functions, and maintaining accurate records required to monitor students progress in the Pathway. The Administrative Assistant will provide excellent customer service to students, while providing a professional and supportive experience. The Administrative Assistant has internal contacts across the College with deans, faculty & adjunct instructors, academic support staff, IT, and other staff in facilitating and improving services within and related to the positions scope of responsibilities, and external contact with students, vendors, business partners, and the general community. This position has access to sensitive student and staff information and is expected to handle such information within confidential information guidelines and with integrity and professionalism. This position is expected to represent Delaware County Community College in a professional manner and promote a student-centered customer service approach. The Administrative Assistant reports directly to the Dual Enrollment Pathway Programs Manager. This position will participate in DCCC branch campus and college-wide meetings, events, and activities as needed.

Essential Functions

Student Enrollment Support:


  • Collect and maintain accurate enrollment documentation and communicate concerns to DE- Manager.
  • Enter data and manage multiple reports as requested.
  • Coordinate the scheduling of placement testing.
  • Update student records and enrollment and attendance information in the program database.
  • Use Connect 2 Success to view and monitor student appointments with counselors, advisors, and other student services staff.
  • Access BANNER, Argos, Degree Works, and other College systems to enter registrations, review student schedules and retrieve any information as needed to assist staff and students.
  • Support the DE-Manager in registration, orientation, and special events.
Pathway Program Operations & Communication:
  • Field inquiries related to the Dual Enrollment Pathway Programs and direct inquiries to the appropriate administrator.
  • Communicate general program information requirements and deadlines to students, parents, high school staff, and college faculty.
  • Assist with organizing informational sessions or workshops for prospective students and their families.
  • Maintain confidentiality of all communications and activities as necessary and appropriate.
  • Support the DE-Manager in special events including those for recruitment.
  • Model excellent customer service skills while working across college departments, with students, and the public.
  • Participate in interactive, on-site meetings during normal business hours and on a regular basis; regular on- site DE Pathways Program office hours.
  • Other duties as assigned.
Academic Records Management:
  • Maintain accurate records of DE-Pathways students' academic progress.
  • Enter Pathway courses into Banner.
  • Track student attendance, grades, and course completions.
  • Generate and distribute progress reports as needed.
Administrative Support:
  • Manage scheduling and appointments for the DE- Manager.
  • Maintain program calendars, including important deadlines and events.
  • Prepare reports and documentation for program evaluation and reporting purposes.
  • Assist with budget tracking and expense reports as needed.
  • Assist the DE-Manager with textbook ordering, distributing, and troubleshooting for DE-Pathway students.
Collaboration:
  • Collaborate with high school counselors and principals, college advisors, and faculty to ensure a smooth transition and academic experience for dual-enrolled students.
  • Participate in meetings and collaborate with other administrative staff to enhance program effectiveness.
The successful candidate must be an engaging, effective, innovative, dynamic collaborator who will have demonstrated knowledge of best practices associated with administrative support and customer service. The successful candidate will also actively participate in creating an environment that encourages, models, embraces, and incorporates diverse thoughts and perspectives of all individuals of various backgrounds, ideas, and perspectives to foster an all-inclusive atmosphere and drive results.

 

Experience & Education

Qualified candidates will have a minimum of three-plus (3+) years of administrative/office management related experience, technical training, or equivalent combination of education & experience; Prior related experience supporting an academic division in an educational setting is preferred. High School diploma/GED required; Associate degree from an accredited institution or equivalent combination of education, related administrative experience, or technical training is preferred.
