Description

Bellingham Technical College invites applications for a 75% (30 hrs./week) regular classified Program Office Coordinator position to support the Institutional Planning & Assessment (IPA; 22 hrs./week) and Diversity, Equity & Inclusion (DEI; 8 hrs./week) offices. However, the position will begin temporarily at 100% (40 hrs./week; 22 hrs./week IPA; 18 hrs./week DEI) through June 2024. This position reports to the Executive Director of IPA with additional supervision from the Director of DEI and is anticipated to start about March 1, 2024.

Under general direction of the IPA and DEI offices, support the daily work of these departments to maintain and advance campus-wide work. The Program Office Coordinator supports operations by coordinating key processes, scheduling, organizing documents, updating websites, and providing administrative support. The position works with and supports the IPA team (including accreditation, strategic planning, data and research, and grant development/management) and the larger, cross-departmental accreditation and DEI committees.

Bellingham rests in the scenic northwest corner of Washington State where the Cascade Mountains meet the Salish Sea. The city is also linked by the I-5 corridor to the world-class resources of the metropolitan areas of Seattle to the south and Vancouver, Canada to the north. Bellingham and Whatcom County have experienced steady growth that has not only stimulated the area's economy but also created a greater awareness and appreciation of its cultural diversity. The region is rooted in Indigenous life and history. Bellingham is located between and on the accustomed lands of the Lhaqtemish or Xwlemi (Lummi) Nation, and of the Noxwsa?aq (Nooksack) Tribe of the Coast Salish people whose members continue to shape its future. The Bellingham area is a haven for outdoor enthusiasts with dozens of parks, miles of trails, and numerous lakes and rivers for recreation. Whatcom County has nurtured a balanced mix of small business, agriculture, manufacturing, and heavy industry that includes family farms, boat-builders, refineries, aerospace companies, and more. The city of Bellingham, including the Fairhaven Historical District, has a thriving business community and a vibrant downtown culture. Local events include the Bellingham Farmers Market, Whatcom Cultural Arts Festival, Bellingham Human Rights Film Festival, Lummi Stommish Water Festival, Downtown Art Walk, Greek Festival, Bellingham Pride Parade, and the world-renowned Ski-To-Sea race. With Western Washington University, Whatcom Community College, and Northwest Indian College also calling Bellingham home, higher education has a strong presence in the community.

Position Duties & Responsibilities

 

  • Exercise independent judgment in interpreting and applying policies and procedures;
  • Coordinate key BTC processes related to:
    • accreditation (e.g., maintain a complete/accurate list of professional technical programs on record, gather and organize evidence in support of self-study reports, provide logistical support leading up to and during evaluative site visits),
    • strategic planning (e.g., compile unit-level planning and assessment information, organize campus-wide input opportunities),
    • DEI (e.g., support campus professional development events, coordinate employee DEI certificate program),
    • data and research (e.g., develop and promote participation in surveys, produce summary reports and presentations, respond to external surveys in consultation with colleagues), and
    • grant development/management (e.g., review/edit proposals, draft and process contracts);
  • Coordinate relevant committee and other group meetings including scheduling, reserving space, sending agendas, coordinating hybrid participation, applying departmental knowledge to take accurate and complete notes, maintaining member lists, and organizing relevant documentation;
  • Write and edit content for internal and external communications (e.g., campus newsletters, all-campus emails); monitor and update internal and external webpages; respond to departmental email;
  • Gather/transcribe and synthesize complex information to inform departmental initiatives;
  • Act as a department liaison and provide relevant assistance to the campus community;
  • Create and maintain a document management system for the IPA and DEI offices;
  • Work as a team member on critical college-wide projects;
  • Contribute ideas to improve basic operations of the IPA and DEI departments;
  • Prioritize work from several team members;
  • Maintain confidential information;
  • Serve on participatory governance committee(s);
  • Coordinate departmental registrations and travel;
  • Monitor and maintain department budgets and purchasing activities; order supplies and materials for the departments;
  • Perform other related duties as assigned.

 

Qualifications

Minimum Qualifications:


  • High school graduation or equivalent;
  • Minimum two years of administrative support experience that includes coordinating complex processes, information, and communications; and
  • Commitment to continuous improvement and DEI work.
Preferred Qualifications:
  • Experience working in higher education;
  • Intermediate experience using Microsoft Office Suite (Excel, OneNote, Outlook, PowerPoint, Word), Microsoft SharePoint, Microsoft Teams, Owl Camera, SurveyMonkey, and/or Zoom;
  • Working knowledge of and experience with accreditation, strategic planning, DEI, data and research, and/or grant development/management work; and
  • Experience organizing, interpreting, and summarizing qualitative and quantitative data (e.g., note-taking, transcribing, identifying trends, creating reports).

Supplemental Information

Compensation and Work Schedule:
Salary is in accordance with the negotiated agreement with the Bellingham Education Support Team (BEST), full-time Salary is at Range 8, $3,982 per month ($22.89 per hour), with annual increments to $5,001 per month ($28.74 per hour) after five years of BTC experience in this position. Salary is prorated for less than full-time.

Leave is subject to the BEST negotiated agreement which currently expires June 30, 2026. At full-time (leave is prorated for less than full-time), this position receives 8 hours per month of sick leave and starts with 10.67 hours per month (16 days per year) of vacation leave, 24 hours of personal leave and 12 paid state/college holidays per calendar year. The vacation and personal leave are available after successful completion of a 180 worked day probationary period. Benefits also include a Washington State insurance package including medical, dental, vision, life insurance, and long-term disability; a retirement benefits package, with choice between the Public Employees Retirement System (PERS) Plan 2 or 3, up to five days of bereavement leave, depending on relative, up to 5 days birth/adoption leave, military leave per RCW 38.40.060 and paid civil/jury duty. Additional optional benefits include ability to participate in a medical Flexible Spending plan, Limited Purpose Flexible Spending plan, or Health Savings Account; Dependent Care Assistance; auto and homeowners insurance discounts, employee only tuition waiver assistance; and two voluntary investment (not matched) programs - TIAA (403b) or the State Deferred Compensation (457) plan.

The regular work schedule is generally Monday through Friday, between 8:00 a.m. and 5:00 p.m., 30 to 40 hours per week, schedule may vary, especially around key events (e.g., accreditation site visit), and may require some overtime hours.
