Job Summary and Responsibilities/Duties

Under general supervision and as part of a team, performs confidential and technical duties involved in the analysis and evaluation of academic records and transcripts for associate degrees, transfer, and limited entry admissions. Presents and exchanges technical or complex information with students, staff, faculty, the public, and officials from other educational institutions. Handles admissions processing and decisions, processes transfer evaluations for course equivalencies, and performs graduation processes, systems work, quality control, data integrity, testing, imaging, and commencement projects. Serves, collaborates, and communicates with prospective students, advisors and the faculty for the colleges limited entry programs. Assists in the development and implementation of policies and procedures related to student academic records.

Essential Duties

  • Conducts official transcript evaluations for the purposes of credit transfer, admissions and appropriate course placement. Analyzes course syllabi, course descriptions, college catalogs, test scores and other documents to evaluate non-MHCC transcripts to determine equivalencies with MHCC courses, program prerequisites and degree/certificate completion.
  • Evaluates, monitors and processes applications, responds to inquiries concerning limited entry admissions, creates student files, enters, and maintains student records in colleges database, and provides accurate admissions information to students and advisors regarding admission requirement and status of application.
  • Assists with testing functionality and content of limited entry application systems.
  • Assesses candidate application criteria and determines eligibility of applicants for acceptance into the College and various programs following industry standards.
  • Recommends revisions to admission/transcript evaluation materials and processes and for suitable course substitutions of the Colleges required courses for certificates and degrees.
  • Serves as subject matter expert regarding admissions, transcript evaluation, and graduation processes for students and College employees.
  • Interprets and articulates complex academic policy to students, staff, faculty, and the public. Collaborates with other departments, advisors, and faculty.
  • Assists program directors in the development and revision of admission criteria and program requirements, including annual debrief with each limited entry program. Updates program materials and webpage(s).
  • Generates and sends official correspondence and documents related to admissions, transfer evaluations, and degree/certificate completion:
  • Coordinates committee work related to admissions and graduation processes with faculty and other staff.
  • Supports info sessions for assigned programs.
  • Compiles data and prepares reports and correspondence concerning student admissions and records matters.
  • Attends and participates in conferences, workshops, and other training sessions to learn about state and federal laws and regulations pertaining to Admissions and Records.

Additional Duties
  • Provides training for individuals who assist with admissions or transcript functions.
  • Assists with registration and official commencement program.
  • Maintains and provides appropriate documents for student use. Assists with compliance audits from the appropriate approving agency.
  • Provides back-up phone coverage.
  • Performs all other related duties as assigned.

 

Minimum and Desired Qualifications

Education: Bachelors degree from an accredited college.

Experience/Training:


  • Minimum (2) years of experience in admissions and transcript evaluation, academic course advisement, and/or transfer credit processing at a regionally accredited institution of higher education.
  • Experience with data entry Experience working with diverse backgrounds of the colleges community, students and employees; demonstrated commitment to promoting access and diversity.

Additional years of experience may be substituted for the education requirement

Desired Qualifications
  • Bilingual oral and written skills with fluency in English and other language that meets community needs
  • Experience with admissions applications and credentials

  • Excellent customer service skills
  • Knowledge of and ability to apply the Colleges implementation of the Family Education and Privacy Rights Act (FERPA).
  • Ability to analyze and communicate complex technical and academic information in a clear and understandable manner
  • Detail oriented and accurate.
  • Excellent verbal, interpersonal, and written communication skills, including active listening skills
  • Ability to effectively handle multiple tasks, priorities changing deadlines, and move quickly among various functions and responsibilities
  • Ability to utilize required software programs such as databases, integrated student information systems, and scheduling software
  • Ability to utilize critical thinking, analyze data, and exercise independent, sound judgment and initiative
  • Ability to work flexible schedules including periodic overtime, nights, and weekends as needed by the College

 

 

Working Conditions and Important Information

 

Working Conditions
Work is performed primarily in an office setting and the position interacts with a variety of individuals including students or clients who may be emotional and exhibit stressful behavior at times. Heavy computer, monitor and keyboard use and repetitive hand/wrist motion for keyboarding functions are typical. May be required to work flexible or additional hours occasionally to meet workload demands.

Salary:
Initial salary placement will be based on years of relevant full-time equivalent experience at the sole discretion of the College, per the guidelines in the applicable Handbook or Collective Bargaining Agreement. Please include all relevant full and part-time experience in your application that you want the College to review towards potential placement. Hired employees will not have an opportunity to update past experience or appeal initial placement after the time of hire.
