Job Summary

The Secretary/Community Liaison assists with the daily operations and performs routine secretarial duties for the Area Health Education Center. In addition, this person is responsible for managing communication with community partners and assisting with presentations and training activities. The emphasis shall be on the promotion and support of health careers in the 27-county service area, with special attention to the needs of rural communities. The mission is to address the regions health workforce shortages and health disparities through collaboration and education.

Required Qualifications

  • Associate Degree or equivalent (60 college credit hours); or High School diploma or equivalent and two years of clerical and general office experience
  • Knowledge of general office equipment including copier, fax machine, printer, scanner, and multi-line phone
  • Computer literacy to include Microsoft Office Suite with proficiency in Word, Excel, and Outlook
  • Demonstrates effective and clear verbal and written communication skills
  • Ability to communicate with the public, including public speaking responsibilities
  • Strong organizational skills and the ability to prioritize workload
  • Must possess a valid Texas Drivers License, good driving record, and be insurable on Midland Colleges insurance policy

Preferred Qualifications

  • Associates degree or higher
  • Prior administrative work experience in a school, college, or university
  • Experience with finance and budgeting

Essential Functions

  • Perform routine secretarial duties and assist with daily operations for the AHEC office
  • Oversee and maintains an up-to-date filing system to continuously report on AHECs budget through proficient bookkeeping skills and methods
  • Manage ordering of supplies and equipment, including purchase orders, invoicing, and record-keeping, as well as the maintenance of office equipment, inventory, and supplies
  • Make travel arrangements by requesting per diems and processing reimbursements for AHEC staff
  • Coordinate with professionals in the community, such as high schools, hospitals, colleges, universities, and legislative representatives, to promote and develop continuing education opportunities such as conferences, symposiums, lunch and learns, or other training events; in person or through a virtual communication platform
  • Assist with the distribution of informational material related to all health education programming
  • Accurately collect and enter all data that is required to be reported in the AHEC database in a timely manner
  • Maintains confidentiality of sensitive information
  • Create and distribute a quarterly newsletter and contribute to the update of activities on communication platforms, including AHECs website, social media and other communication methods
  • Assist the Center Director with the quarterly AHEC Advisory Board meetings by preparing an agenda and maintain meeting minutes
  • Attend required professional/staff development offerings and meetings pertinent to the position
  • Must be able to travel for day trips and occasional overnight stay
  • Occasional work assignments after regular business hours
  • Other duties as assigned

Physical Demands

  • Must be able to remain in a stationary position 50% of the time
  • Must be able to sit or stand for long periods of time
  • The person in this position needs to occasionally move or drive to other locations on and off campus
  • This position may require occasional travel for training, meetings, and events both in and out of town
  • Repetitive use of a keyboard at a workstation
  • Use of manual dexterity
  • The person in this position frequently communicates with others; must be able to exchange accurate information
  • Frequently moves equipment or paperwork weighing up to 40 pounds
  • Duties indoors and some outdoors
  • Ability to work extended hours and attend Midland College or community events
