Position Summary/Purpose of Position:

The Administrative Assistant will provide administrative and logistical support for the CARE to Stop Violence office (CARE) and the Sexual Assault Prevention Committee (SAPC). This position will report directly to the Assistant Director of CARE / unit supervisor.

Minimum Qualifications:

Education: 
  • High School Diploma or GED

Experience:
3 years experience providing administrative support.

Required Knowledge, Skills, and Abilities:
  • General knowledge of and skill in the practical application of generally accepted office practices and procedures.
  • Ability to communicate effective both orally and in writing.
  • Ability to proofread and edit written documents. S
  • kill in various computer software packages, such as word processing, spreadsheets, database, and presentation programs, Internet, email and calendaring software.
  • Ability to understand and follow oral and written instructions.
  • Ability to interact effectively with internal and external parties in a courteous and efficient manner.
  • Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

Other:
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Additional Information:

Essential Duty/Responsibility (1): | Administrative office support: Managing logistical tasks such as ordering supplies and materials; Tracking inventory; Processing request forms for spending, professional development, and medical records; Manage room reservations and calendar invites for CARE and SAPC meetings; Take meeting minutes for CARE and SAPC; Assist with website updates. Assisting with annual reports and internal assessment initiatives; Coordinating search committee logistics when needed and Coordinating IT, maintenance, and housekeeping requests as needed.
Percentage (1): | 50%
Essential Duty/Responsibility (2): | Providing in-take triage forms to clients, escorting clients to the waiting area or their therapist/advocates office, and responding to office emails and voice messages effectively and in a timely manner.
Percentage (2): | 15%
Essential Duty/Responsibility (3): | SAPC administrative support:Assist in managing committee membership rosters, email and calendar correspondence, Google Drive organization and materials, website updates, and implementation plan progress—additional administrative SAPC support when needed.
Percentage (3): | 15%
Essential Duty/Responsibility (4): | Programmatic logistical support:Assist with workshop requests, scheduling and room reservations, and assessment survey tracking. Particularly for the Step Up! Bystander Intervention training program.
Percentage (4): | 15%
Essential Duty/Responsibility (5): | Other duties as assigned.

Physical Demands

Typical physical demands of our office setting, majority of time spent working at a desk and computer with some bending, stooping, and lifting less than 25 lbs. Potential exposure to communicable disease by virtue of working in a healthcare environment.
