Administrative Specialist - Applied Technology Division

Job Description

SHIFT:  Day/evening/weekend hours | Flexible based upon the needs of the College

LOCATION:  Lakeshore Technical College – Cleveland, Wisconsin

POSITION SUMMARY: Provide administrative and office support for various programs in the Applied Technology division. Understand organizational core processes as they relate to department activities and college initiatives. Manage the scheduling process utilizing administrative system software within the institutional areas of responsibilities. Monitor, analyze, and problem-solve crucial processes including workload and other earnings, grant required activities, curriculum approval, and the development of new programs. Must perform job responsibilities without direct supervision and maintain confidentiality. Work with external stakeholders to identify opportunities to collaborate. Assist the division in organizing and executing events and activities for recruitment and community outreach. Provide an exceptional customer service experience to both internal and external customers throughout every interaction.

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):

(70%) Program/Course Support

  • Provide direct support for the division dean with the planning, programming, and budgeting processes, while addressing inquiries for all areas of institutional and programming responsibilities.
  • Organize and create necessary documentation for programs, courses, and grants while ensuring the accuracy of administrative systems course catalog.
  • Manage new program processes within division and develop alternate schedule plans for students in phased-out transitional curriculums.
  • Manage, develop, detail, and implement the divisional master course scheduling process and resolve course and schedule conflicts.
  • Investigate and resolve enrollment complications of students regarding program progression and completion.
  • Collaborate and communicate course opportunities to external stakeholders including industry partners, high school teachers, shared-program partners, and others.

(20%) Administrative Office Operations

  • Manage daily office operations, including administrative tasks.
  • Employ core organizational processes and timelines for department and college success.
  • Coordinate division participation with tours, college events, and college public relations activities. Represent division on cross-functional campus-wide committees and activities.
  • Provide facts and information for plan-developing, problem-solving, and decision-making for division operations.
  • Manage program and activity-related grants, including enrollment tracking and reporting.
  • Provide Five-Star Customer Service throughout all interactions.

(10%) Student Advocate and Liaison

  • Assist students with their educational needs.
  • Resolve student concerns; work with all areas of the college to ensure that students need have been met.
  • Monitor students program progression and plan program schedule to ensure timely graduation.
  • Serve as liaison to support the unique educational needs of distant program students.
  • Organize program orientations and orientations for intern and site farm agreements.
  • Organize information; attend and advise students at pre-registration and enrollment activities.   

EDUCATION AND EXPERIENCE

  • Associate degree from accredited college or university in a related discipline required.
  • Two to three years relevant occupational experience required.

CERTIFICATIONS, LICENSURE, REGISTRATION:

  • None

KNOWLEDGE:

  • Knowledge of Lakeshores mission, vision, and strategic direction.

  • Ability to master software such as: Microsoft Office (Word, PowerPoint, Excel).
  • Excellent command of the English language, both written and oral.

PHYSICAL DEMANDS/WORK ENVIRONMENT:

  • While performing the duties of this job, the employee is regularly required to sit and talk or hear.
  • The employee frequently is required to stand; walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms.
  • The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.
  • The employee must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Work environment may require multi-tasking.  
  • The noise level in the work environment is usually moderate.
