Position Summary

Position:   Financial Aid Clerk (Part-Time)

Application Deadline:         Until filled

Salary:    This is a part-time-only position. Pay for this part-time position will be from $12.00 per hour, with no benefits available. Time worked per week will not exceed nineteen (19) hours.

Anticipated Begin Date:    Applications will continue to be accepted until the position is filled. Qualified candidates from the applicant pool will be contacted for an interview.                                  

Under the direct supervision of the Assistant Director of Student Financial Aid Operations, the Financial Aid Clerk is responsible for processing financial aid applications, filing and retrieving information, and working with students and their parents.  Computer skills are essential to successful completion of assigned tasks, such as preparing correspondence and other written materials. 

 

Essential Duties and Responsibilities

Other duties may be assigned by the Assistant Director or his/her supervisor.

  1. Maintain regular and predictable attendance;
  2. Perform routine clerical duties to support the administration of the office, including data entry, typing, filing, copying, faxing, scanning, and answering telephone and email messages. 
  3. Disseminate financial aid information to students and prospective students. 
  4. Assist students during registration and advance registration periods.
  5. Act as the first point of contact for all student inquiries, including in-person, phone calls, and emails. 
  6. Answer general financial aid questions related to applying for financial aid and VA benefits.
  7. Assist in the maintenance and storage of all financial aid files, both paper and electronic. 
  8. Scan and enter data for each financial aid student record, ensuring that all information is accurate and complete. 
  9. Maintain data records for department budget, office visits, customer service reports, and other department reports. 
  10. Work with small groups (such as student tours) to inform of financial aid availability and the application process. 
  11. Advise students, including Title IV, Scholarship, and Veterans Affairs (VA) students, as needed  
  12. Ensure timely and accurate reporting of financial aid programs. 
  13. Assist with the implementation of federal work-study benefits and awards and assist with work-study students, as needed. 
  14. Assist students during registration and advance registration periods. 
  15. Assist in the maintenance and storage of all financial aid files. 
  16. Assist with computer files for each student. 
  17. Assist with financial aid student records, ensuring that all information is accurate and complete.
  18. Order and maintain office supplies; serve as receptionist, and answer and direct calls, as needed.

  1. Adhere to all policies and procedures set forth by the College.
  2. Maintain confidentiality of identified sensitive information and of departmental information.
  3. Remain current in and enhance professional knowledge and skills through professional development training and continuing education.
  4. Interact with and serve diverse student and employee populations in a courteous and friendly manner.
  5. Adhere to College standards of professionalism and confidentiality, including courteous and friendly interaction with other CVCC employees.
  6. Maintain appropriate work hours as outlined in State and College policies and assigned by supervisor or dean.
  7. Recruit potential students, both traditional and nontraditional, for the College, and assist in retention efforts.
  8. Represent the institution in a positive manner.
  9. Participate in advance registration, regular registration, and schedule adjustment as assigned.
  10. Serve on committees as assigned.
  11. Participate in graduation and other college activities.
  12. Participate in the Colleges planning process.
  13. Perform other duties as assigned.

 

Qualifications

Interviews can only be extended to applicants who meet the minimum required qualifications.   The following are the minimum qualifications required for this position:

  • Associate degree, or the equivalent (60 semester hours), from a regionally accredited college or university
  • Financial Aid experience 
  • Ability to type 30 net words per minute
  • Ability to demonstrate computer skills 
  • Ability to maintain confidentiality
  • High degree of workplace professionalism, with excellent customer service skills
  • Ability to carry out instructions furnished in written, oral, or diagram form
  • Effective oral and written communication skills; proficiency in the English language
  • Proficient use of the Microsoft Office suite including Word, Excel, PowerPoint, and/or Outlook

INTERVIEW PROCESS:

The Recruitment and Selection Committee will screen all applicants for the position and select applicants for interviews. Interviews may consist of the following activities: question/answer session and/or skills demonstration. Upon completion of the interviews, the Committee will recommend a finalist for the position to the appropriate dean and the President, after which final employment decisions will be made.

The College reserves the right to fill the position within one year of the stated anticipated starting date or not to fill the position due to budgetary or operational considerations. Further, the College reserves the right to fill more than one position in the same job classification should another vacancy occur during the search process.
