Job Description

Northwest Technical College (NTC) invites applicants to join our team as an Admissions Representative.  The Admissions Representative is responsible for the recruitment and retention of new and current students to NTC. Admission Representatives are responsible in activities and tasks that result in moving students through the enrollment funnel to registration. The enrollment funnel includes the following critical processes: Prospect Generation, Inquiry Management, Application Development and Admission to Enrollment.

                 

Responsibilities of the Admissions Representative include:

  • Territory / Program Management. (80%)

    • Prospecting Generation – College representation and recruiting at high schools, college fairs and business/community events. Preparing and arranging schedule of visits, recruitment efforts (i.e. communication flows, inbound & outbound marketing) according to NTCs Recruitment Plan. Maintaining communications and assisting with post-secondary application and financial aid processes. Identifying target recruitment opportunities based on data trends/analysis. Facilitating group presentation, small group discussions, workshops and one-to-one interaction to generate interest in NTC programs. Preparing and delivering presentations at information nights, Campus Preview Days, college days/nights new student events, campus tours and other special events.

    • Inquiry Management – Meeting with students, parents/families and transfer students visiting campus and following up in a timely manner and inputting all information into CRM. Accurately communicating admissions requirements academic program information and student activities/life opportunities. Preparing, communicating and distributing timely, effectively and professional recruitment messages to interested students, parents, schools, college business and community groups utilizing channels that use. Assisting with identification/tracking of target populations through the CRM. Responding to communications from prospective students and connecting with campus resources as seamlessly as possible. Probing to insure/verify that all important issues/questions have been addressed.

    • Application Development – Assisting with initial or pre-advising for incoming students and reviewing and evaluating application information, transcripts and placement testing results. Consulting with processing team and counselors as needed. Accurate use of CRM, ISRS (Student Record System), ImageNow (document imaging) is required.

    • Applications to Enrollment (Yield) – Working with incomplete applicants to ensure they submit required documentation for acceptance to the college. Following up 100% is required of admitted student within programs assigned. Facilitating the process of admit to confirmed status. Following up with required confirmed documents, confirmation letter, housing information/deposit, and academic and advising registration. Monitoring the melt activity of confirmed students. Establishing a proactive communication flow/process to engage students between confirmation to the first week of class. Following up on “no-shows” for Academic Advisement & Registration on targeted populations. Monitoring the admitted/registered/dropped and cancelled list. Utilizing CRM (Hobsons Connect), Social Media and the NTC Website to recruit students. Performing initial advising for all new students in assigned programs.

    • Recruiting and Yield Event Planning and Participation-Campus Community – Coordinate/support on and off campus special events: Campus Preview Days, Academic Open House, Academic Advising and Registration, Saturday and evening events, tele-counseling and texting campaigns, and other special events. Coordinating travel as needed to make individual high school visits as well as attending recruitment fairs (MEF, National College Fair, etc.). Being the point of contact for the Admissions Office within a variety of campus committees. Participating in regular staff meetings with the Office of Admissions. Participating in work group discussions for mapping business processes and measuring improvement. Actively developing partnerships and participating in work groups. Participating in decision making process for process improvement. Contributing to annual Admissions planning: enrollment reviews/analysis, effectiveness. Contributing to the development of cutting-edge strategies to recruit students to college. Studying enrollment data/trends in assigned territory. Evaluating territory visitation sites/areas.

  • One Stop Student Services Representative. (20%)

    • Serving prospective and current students as a one-stop student services representative with knowledge in records, registration, financial aid, admission, and other student service areas; additional support, as needed, to schedule and proctor exams, participate in campus events and outreach programs, and be a liaison for students seeking assistance form the One Stop Student Services Center.

 

Minimum Qualifications

  • Associates Degree or two years of work experience.

  • One (1) year customer service experience.

  • Knowledge of advising concepts/techniques.

  • Experience and skill with computers.

  • Must possess valid class D Minnesota Drivers License.

 

Preferred Qualification 

  • Bachelors Degree or four years of work experience.

  • Knowledge and experience with the admissions recruitment funnel and Customer Relationship Management usage.

  • Experience in student services.

  • Experience using Social Media and designing Social Media postings.

  • Experience utilizing and updating Websites.

  • Knowledge of and experience with Technical Education.

  • Excellent administrative, communication and public relations skills.

  • A demonstrated commitment to the principles of diversity, equity, inclusion, and anti-racism.

Bemidji State University and Northwest Technical College lie amid the lakes and forests of northern Minnesota. Bemidji State occupies a wooded campus along the western shore of Lake Bemidji while Northwest Technical College lies just three miles east, near Bemidjis robust industrial district. 

 

The city sits between Minnesotas three largest American Indian tribal nations: the Leech Lake Band of Ojibwe, the Red Lake Nation and the White Earth Nation.
