Provides administrative support services to the Vice President and staff assigned to the Human Resources Department. Oversee completion of all administrative tasks related to the daily operations of the Department. The Staff Associate's role will emphasize advocacy for current and potential faculty and staff through problem-solving, decision-making, and accessing of internal and external resources.
Responsibilities and Duties:
- Support the department in aligning activities with institutional mission, goals, and strategic plans, including programmatic initiatives, policy implementation, and project management.
- Assist in planning and executing departmental and college-wide events.
- Respond to highly sensitive and complex inquiries.
- Promptly report routine complaints to the Vice President, Director or Associate Director.
- Maintain strict confidentiality in all faculty and staff personnel matters.
- Assist the Human Resources Team in coordinating grievance meetings, mediations, and arbitrations, as well as pre-disciplinary meetings.
- Attend relevant internal and external meetings.
- Serve as the initial point of contact for employees and visitors to the Human Resources Department.
- Manage HR office communications including phone lines and emails, ensuring timely, accurate and professional responses.
- Maintain accuracy of Human Resources webpage and portal documents.
- Coordinate calendars for the Vice President and Human Resources Department.
- Organize and manage employee files in accordance with department protocols.
- Draft, distribute, and monitor re-appointment letters and annual contracts for non-tenured staff and faculty.
- Update, maintain, and submit union reports pursuant to the Collective Bargaining Agreements.
- Input and manage academic credentials for faculty and staff.
- Monitor and oversee Ethics training completion and biennial renewals.
- Administer annual Sexual Harassment training, ensuring compliance tracking.
- Track evaluations for all Faculty and Staff and notify supervisors and follow up on outstanding reviews. Inform HR Leadership of all non-compliance.
- Update HR Information Systems (HRIS) for employee status changes.
- Oversee Tuition Reimbursement program administration.
- Manage departmental budget, track expenditures, and process payments.
- Process unemployment claims and prepare required documentation.
- Prepare monthly reports for the Board of Trustees.
- Handle employment verification requests and related correspondence.
- Coordinate AFSCME and MCCC grievance hearings, maintain files, update reports, and distribute written grievance decisions in accordance with the Collective Bargaining Agreements.
- Collect and distribute daily Human Resources mail.
- Perform additional assigned duties and projects.
Job Requirements:
- Bachelor's degree in a related field.
- Minimum of two (2) years Human Resource experience
- Three to five years of office management experience.
- Strong interpersonal and organizational skills.
- Knowledge and experience with Microsoft Suite.
- Excellent verbal and written communication skills.
- Ability to handle highly confidential information appropriately.
Preferred:
- SHRM-CP, SHRM-SCP, PHR, or SPHR certification.
- Three to five years experience in a Human Resources office or in a Community College setting.
Additional Information:
Position Status: Non-unit Professional, full-time state funded with benefits.
Hours: 37.5 per week
Salary: $62,000 - $68,000 (annually), commensurate with education and experience.
Worksite: This position will be primarily assigned to the Canton Campus but assignments will include all Massasoit sites and additional locations as necessary.
