Administrative and Financial Aid Assistant
Job Description
The Administrative and Financial Aid Assistant plays a key role in supporting both the administrative and financial aid functions at LLTC, ensuring that students have access to the resources they need to pursue their educational journeys. This position provides culturally responsive guidance to students and families as they navigate financial aid processes, helping them access scholarships, grants, and other funding opportunities. In addition to assisting with financial aid, the role supports general office operations, managing inquiries, maintaining student records, and coordinating appointments. The ideal candidate will have a strong understanding of Indigenous values, excellent organizational skills, and a commitment to helping students achieve their academic and personal goals within a supportive, culturally grounded environment.
EDUCATION: Bachelors Degree in related field with 1 to 3 years experience directly related to the duties and responsibilities preferred. An Associates Degree and two years experience directly related to the duties and responsibilities required. Applicants must be able to demonstrate a track record of proactive, progressive and successful community outreach, interaction and service for full consideration.
DUTIES/RESPONSIBILITIES:
- Provide administrative support to the Dean of Student Services, process documents for immediate supervisor and on occasion, faculty.
- Assist and direct students and the general public in need of guidance for student services, various departments within the college, enrollment and/or other information being requested.
- Assists with data entry.
- Maintain the confidentiality of Leech Lake Tribal College and protect the privacy of our students as required by FERPA.
- Assist with travel Authorization Forms and/or travel arrangements for the Dean of Students and others within the department.
- Maintain files for immediate supervisor, curriculum and course syllabi, and other documentation related to the mission of the college.
- Provide occasional support and backup for academic assistance office.
- This role is integral in the day-to-day, fast-paced environment of the administrative office and is a highly visible position, both internally and externally, requiring use of appropriate discretion and sound judgment. You will be handling details of a highly confidential and critical nature.
- Resolves or assists in the resolution of problems and/or complaints and initiates corrective action as appropriate.
- Serves on various college committees and participates in professional organizations as appropriate to assignment.
- Initiate, coordinate, and implement presentations regarding the Colleges academic and career development programs to high school students, high school professionals, parents, industry and community organizations including panel presentations, group presentations, college information fairs, classroom presentations, and admissions workshops.
- Collaborate, plan, and assist Student Service staff in new and returning student orientations, summer registration events, and other specifically targeted recruitment and retention events.
- Guide students through the financial aid application process, answering questions and providing information on federal, state, and institutional aid programs.
- Assist with the intake and review of financial aid applications, ensuring all required documents are submitted and verified for accuracy.
- Provide students with information on their financial aid status and refer more complex inquiries to the appropriate Financial Aid Officer.
- Support the Financial Aid Office in preparing for audits by organizing and ensuring all necessary documentation is available.
- Promote student retention and success; prepare, update, and provide accurate articulation information for retention and success of students utilizing the appropriate system.
- Operate a computer and related equipment and software, which will include having administrative access to LLTC social media sites to assist in recruitment efforts.
- Employee is required to respond to phone calls and email in a timely manner; as well as to follow the policies of the College as outlined in the Personnel Manual, Employee Handbook, College Catalog, Student Handbook and other publications of the College.
- Will be required to drive to various locations to conduct work.
- Other duties as assigned.

- Provide quality customer service and support to the LLTC and all stakeholders.
ADDITIONAL QUALIFICATIONS AND SKILLS:
· Understanding knowledge of, and commitment to the mission, vision and goals of LLTC.
· Experience working within Ojibwe communities.
· Demonstrated commitment to serving others from diverse backgrounds, interests, and abilities.
· Ability to interpret; adapt, and apply guidelines and procedures.
· Knowledge of computerized student information systems and Microsoft applications.
· Must pass pre-employment drug test and criminal background checks.
· Native American Preference.
PHYSICAL REQUIREMENTS:
Ability to lift 30 pounds or more and use proper body mechanics
Be able to sit or stand for long periods of time
