Job Description

The successful candidate for this role in the College of Engineering will join a veteran team of academic advisors who perform two main academic functions: undergraduate administration and collegiate academic advising. The academic advisors work with the Associate Dean for Undergraduate Programs to advise students and make dean-level decisions for EG undergraduate students and who interpret and apply the rules of the Universitys Undergraduate Academic Code in a manner that ensures consistency, equity, and integrity. The ability to collaborate, develop expertise, use discretion, and exercise sound judgment are essential to carrying out this function of the position. The advisors will work with students to tailor their academic plans to assist students in taking additional courses in their majors, complete a second major or minor (in certain cases), study abroad, pursue research opportunities and engage in professional development. For this reason, academic advising in Engineering is a highly collaborative effort which relies on strong relationships and consultation within the office and across the College and University. All EG students are assigned an academic advisor and one departmental advisor/director of undergraduate studies (DUS) for each program (major, supplementary major, and minor) they declare. Advancing the Deans priorities for undergraduate education in the College, the academic advisors develop expertise to oversee the whole degree and guide students through the process of building a meaningful curriculum out of its components parts and the many options and paths available: core requirements, programs and program combinations, and curricular and cocurricular opportunities.

Specific sub-tasks that contribute to achieving these aims include, but are not limited to:
  • Academic Advising: Manage all aspects of collegiate academic advising for a cohort of undergraduate students. Provide expertise to oversee progress to degree and guide students through the process of building and pursuing a coherent and meaningful curriculum out of its components parts and the many options and paths available: core requirements, programs and program combinations, and curricular and cocurricular opportunities; assist students in identifying their academic interests and aligning them with their long-term goals, often looking across the college or University at curriculum. Manage academic crises and connect students with campus support services as appropriate.

  • Administration: Manage and consult on undergraduate administrative processes affecting the assigned cohort of students: overload requests, pass/fail requests, part-time status requests, course adds/drops after the enrollment period, separation requests, academic accommodations in consultation with Accessibility Services, study abroad approvals, schedule and degree audits, transfer course evaluations, etc.

  • Meetings, Committee Work, and Projects: Contribute to tasks shared by the Engineering Advising Team through regular participation in meetings, committee work, and other projects and responsibilities as assigned by the Associate Dean for Undergraduate Programs and Academic Affairs.

  • Commencement and Public Events: Assist in the coordination and administration of the May Commencement ceremonies. Serve the College and the University as a representative and an advisor at functions such as Commencement, recognition ceremonies, open houses, orientations, Junior Parents Weekend and Admissions events for prospective students.

Minimum Qualifications

  • Masters degree or Bachelors degree (5 years) or advanced certification beyond Bachelors.
  • At least three years of academic counseling at the university level and education administration experience.
  • Essential skills, expectations, and competencies for academic advising include the following: Advanced academic expertise in a discipline housed within the College of Engineering or in a discipline that aligns with one of the Colleges interdisciplinary or cross-college programs. Ability to guide a student in the process of developing, adapting, and pursuing a coherent curriculum of study through in-person academic advising meetings and to to master the undergraduate curriculum and co-curricular opportunities. Commitment to advancing the Deans priorities for undergraduate education. Knowledge of and adherence to the requirements of FERPA. Exceptional organizational skills and attention to detail. Ability to master the relevant software and web-based applications and to manage a high volume of communication with students, faculty, and staff in a timely and professionally appropriate manner. Ability to manage several complex administrative processes and responsibilities simultaneously: degree-requirement audits, schedule audits, study-abroad approvals, transfer course approvals, drop requests, separation requests, return-to-studies applications, academy review of transfer applications, directed-readings requests, pass-fail requests, part-time status requests, etc. Ability to establish and cultivate collaborative relationships within the College and across the University in support of undergraduate education.

Preferred Qualifications

Terminal degree in a discipline housed within the College of Engineering or in a discipline that aligns with one of the Colleges interdisciplinary or cross-college programs. Two or more years of teaching experience in higher education. Doctoral degree (Ph.D., J.D., Ed.D.) preferred.
