Job Description

Position Summary
Provides management of the accounting and scholarship functions (accounts receivable/payable/cashier) and
administrative support for the Crowder College Foundation. Position includes data entry, spreadsheet functions,
preparing reports, budget oversight and scholarship management.

Essential Job Duties
The assistant director’s primary function is the financial and fiduciary operation of the Crowder College Foundation and
coordination of the Foundation’s scholarship program. As part of the Foundation team, the person will be flexible enough
to assist in special fund-raising events, board meetings and other activities.

  • Manage the accounting records, reconcile bank statements, prepare financial reports and other financial functions
of the Crowder College Foundation.
  • Ensure data are accurately posted to the correct accounts and ledgers.
  • Provide accurate updating and processing of computerized data, month-end ledgers, check ledgers, etc.
  • Compile and prepare financial reports as needed in a timely and accurate fashion insuring appropriate
distribution, including monthly financial reports to Board of Directors and monthly budget reports to staff.
  • Assist Director with completion of the annual 990 and other tax related documents.
  • Oversee the scholarship awarding process, including use of online scholarship portal, to screen applicants,

award scholarships based on a grading rubric, and make award notifications to students in partnership with the
college’s Financial Aid Office.

  • Assist Director with the annual scholarship fundraising campaigns for the Foundation.
  • Manage basic administrative assistant duties. (greet guests, answer & make telephone calls, manage donor
correspondence, order supplies as needed)
  • Manage recordkeeping of student volunteer hours and coordinate use of volunteers for related responsibilities.
  • Co-Coordinate the annual scholarship banquet, donor appreciation dinner, wreath auction for the Foundation
and other events as needed.
  • Establish and maintain positive relationships with donors, alumni, Foundation Board, employees, students and
general public.
  • Monitor and assess the computerized accounting system and recommend modifications and improvements as
needed.
  • Respond to requests for accounting information/reports from College personnel and donors with courtesy and
provide explanations as needed.
  • Assist auditors as needed when annual audit is done.
  • Maintain financial records as needed.
  • Attend meetings, seminars and workshops as needed or as requested by supervisor.
  • Perform other related tasks as required.


Required Knowledge, Skills & Abilities

  • Bachelor’s degree in accounting/finance or nearing completion of degree.
  • Two years of related professional experience required.
  • Knowledge of basic (GAAP) and governmental accounting principles and procedures.
  • Knowledge of data processing applications to accounting.
  • A demonstrated record of skills in the following areas: Data entry, spreadsheet development and use, problem solving and
decision-making skills, and preparation of accurate financial statements and reports.
  • Ability to establish and maintain positive working relationships with donors, college personnel, students, and external college
contacts.
  • Well-developed spelling, grammar, and proofreading skills, with high degree of attention to detail.
  • Ability to perform multiple tasks and remain calm during frequent interruptions.
  • Understanding of and commitment to the community college philosophy and mission.
  • Ability to operate a personal computer using the Windows environment, including MS Word & MS Excel


Preferred Knowledge & Skills

  • Use of Jenzabar Accounting system

Equipment/Software
  • Information Technology abilities required:
o Skills necessary to utilize computer to manage and improve instruction.
o Ability to operate a computer using Windows environment.
o Ability to operate a computer within the Crowder College network environment.
o Ability to utilize email.
o Ability to perform basic Microsoft Office 365 components (MS Word, MS Excel, MS Power Point)
o Ability to perform basic Learning Management System functions.

Working Environment
  • Generally indoors in a normal office/classroom/clinical environment with minimal exposure to temperature
changes, noise, dust or chemicals.
  • Normal college working hours but adjustment of hours involving evening and/or weekend work may be required.
  • Travel to other sites occasionally required.
  • A neat appearance and appropriate businesslike apparel are required.
