Job Description:
Madison College is conducting a search for a Project Management Office Coordinator. This position supports the Enterprise Project Management Office (EPMO), within Technology Services and impacted business leaders across the college to prepare them for data-informed decision making regarding the ongoing monitoring, evaluation and prioritization of the active project portfolio and new project requests (Project portfolio performance management).
The PMO Coordinator has primary responsibility for maintenance and configuration of the technology systems that are utilized to manage the performance of a project and the entire project portfolio (such as Microsoft Project Online (or similar), PowerBI, SharePoint, MS Office, Roadmap/agile hybrid tools); project portfolio data analytics and reporting, TS resource allocation, process adherence/ KPIs, capacity planning and forecasting, time tracking, budget management, and coordinating actions associated with contracts, purchasing and data governance and other related project performance metric reporting (e.g. HECVAT, FERPA, data sharing, single sign on); training project managers and operational leads, facilitation and note taking in team and departmental meetings, occasionally coordinating small projects and other duties as assigned.

This is a full time, 40 hours per week, exempt position. Core work hours are 8:00 am to 5:00 pm M-F. This position could be fully remote under the current college policies.

Responsibilities Include:
  • Systems-Configuration, maintenance and governance of the technology systems and processes that are utilized to manage the performance of a project and the entire project portfolio. (e.g. Microsoft Project Online (or similar), PowerBI, SharePoint, MS Office, Roadmap/agile hybrid tools)
  • Project Management-Training, support, and governance for continuous improvements of the EPMO Playbook and associated templates, processes and procedures for training and adherence for project managers, business analysts and operational leads, technology department and other College audiences on the technology and performance management related components of the Playbook.
  • Decision Packages-Prepares near real time project portfolio data analytics and reporting, dashboards, roadmaps for EPMO portfolio and individual project performance and customer roadmaps for ongoing project portfolio performance management and leadership decision making. This includes new requests, divisional and departmental product and project roadmaps, all active projects and department wide resource allocation.
  • TS Coordination-Coordinates actions, templates and procedures associated with project and technology services related responsibilities for budget tracking, contracts, purchasing and data governance (e.g. HECVAT, FERPA, data sharing, single sign on, capital chargebacks, time tracking)
  • EPMO Coordination-facilitation of and notetaking for meetings and occasional coordination of small projects and other related duties as assigned.

Knowledge, Skills & Abilities:
  • Adept to expert level in the project management business systems used to manage project portfolio performance.
  • Skill in communicating effectively and professionally, both orally and in writing.
  • Demonstrated skill in communications and human relations with populations of diverse socioeconomic and cultural backgrounds and persons with disabilities.
  • Project and portfolio management lifecycle/methodology and frameworks (waterfall and agile); Business analysis, project/program quality assurance and auditing.
  • Experience with project management software, business systems, office productivity systems, ERP systems.
  • Planning, coordinating, and implementing project components/activities.
  • Researching, analyzing, and applying relevant information to the development of departmental processes and programs as well as making recommendations for improvement
  • Meeting facilitation
  • Adapt to change in the work environment.
  • Manage competing demands and change approach or method to best fit the situation.
Minimum Qualifications:
1. Bachelor’s degree.
  • Experience used as an equivalent of an educational requirement is in addition to any experience required by the position.
AND
2. Four (4) years, experience in Project Management, Business Analysis, Data Analytics, IT, PM Business Systems type work.
