Learning Services and Academic Skills Coordinator

Job Description

Reporting to the Manager, Learning Services, the Learning Services and Academic Skills Coordinator is responsible for providing coordination and support to Learning Services including the coordination of program and course-level tutors as well as other Learning Services student employees. The incumbent coordinates, coaches and guides student employees and is responsible for training and supporting the hiring of course-level and program-level tutors and the coordination of these programs, which includes liaising with faculty members for student references and referrals. The incumbent also regularly coordinates and supports attendance, projects and issues that may arise. In collaboration with the Manager, the incumbent coordinates the administrative activities of the Tutoring Centres by providing oversight to the timely and accurate onboarding, training, coordinating and exiting of tutors including setting up and submitting contracts, liaising with Payroll and Sheridan IT. The incumbent supports the development of learning strategies and academic preparedness tools in support of student learning and tutor training in consultation with the Academic Skills Librarian, the Learning and Study Skills Strategist and other members of the Learning Services team. The incumbent also builds relationships across the Sheridan community to connect with groups like Accessible Learning, Advising and faculty partners for delivering academic skills supports and tutoring programming.

What You’ll be Doing

  • Modifying and adapting existing learning strategies and academic preparedness tools in support of student learning (e.g. modifies content in the Learning & Study Tools Hub, prepares content for handouts provided in the Centres by tutors and student associates, prepares tutor training content for SLATE that students can access);
  • Delivering learning strategies training to tutors and other Tutoring Centre student employees; conducting mid-term sessions and check-in with PAL Specialists and PAL leaders on the topic of learning strategies;
  • Representing the Tutoring Centre on external committees and groups and communicates team updates and activities to the manager (e.g. Supplemental Instruction (SI) advisory board, Learning Specialists Association of Canada (LSAC));
  • Liaising with Accessible Learning to identify, modify and communicate resources that tutors can provide in their tutoring sessions to support overflow in Accessible Learning;
  • Providing coordination of student employees, including recruiting, interviewing and hiring in collaboration with the Learning Services Team;
  • Preparing timesheets and contracts for student employees;
  • Reviewing and inputting co-curricular record requests;
  • Providing information on services and programs available, while ensuring and maintaining confidentiality and safeguarding student rights;
  • Acting as an informational resource for visitors to both areas including referring individuals to other appropriate service providers to support their needs;
  • Processing tutoring applications, interpreting and assessing transcripts in order to determine academic standing;
  • Preparing and attaining necessary approvals and processes bi-weekly payroll timesheets for Tutors and other student employees;
  • Guiding and mentoring tutoring centre staff in their provision of services, in the absence of the Manager;
  • Providing administrative support, purchasing supplies, arranging for equipment servicing, and ensuring the Tutoring Centre’s condition is maintained;
  • Participating and supporting events such as tutor training, convocation, start of term activities, Open House, Discover Sheridan etc.;
  • Performing other related duties as assigned.

The successful candidate will also meet the following requirements:

  • 3-year diploma or degree in Office/Business Administration, Communications or related field;
  • Minimum 3 years progressive experience with customer service and office administration, preferably in a post-secondary environment;
  • Experience supporting students with academic needs and providing them learning support services (i.e. tutoring), analyzing student and course data, and designing academic tools and skills supports is required;
  • Intermediate proficiency with Excel and scheduling software;
  • Excellent verbal and written communication skills are required;
  • Strong ability to problem solve and work independently. Time management skills and organization skills to manage competing priorities is required;
  • Training related to adult education and/or inclusive academic supports (e.g. certificate in accessible learning strategies from Cambrian College; certificate in teaching and training adults;) is preferred;
  • Supplemental Instruction certification is preferred.
