Job Summary

Under general supervision of the Director, this position will be responsible for the efficient and effective operation of all the STEM Learning Resources’ departmental functions. Specifically, in collaboration with coordinators and managers in the department, this position will provide direction and guidance to ensure smoothly functioning day-to-day operations. This will include providing operational support to all workshops, tutor activities, student projects and research, and events that are organized and/or held in the different campuses of the College.
The ideal candidate will actively participate in all required meetings and activities with a focus on improving student success and access as expected of these college services. They will be proactive in making decisions within the scope of the job, solving unexpected problems and carrying on departmental business in the absence of the director and/or coordinator. The candidate selected might oversee secretaries or clerks that will aid in the administrative tasks.

Essential Responsibilities and Duties

Assist the Director, coordinators and faculty to generate a friendly and student-oriented atmosphere in the centers and lab spaces. This requires planning and implementation of processes that can be applied on several campuses. Take into consideration the needs of students when aiding with procedures and direction to pertinent academic resources, depending on student’s stated reason for the visit. Develop strategies to implement efficient and effective procedures at every campus where a center exists. Manage student-tracking systems.
Provide overall direction and guidance to day-to-day operations, problem solving and decision making concerning the process of work within the Department of STEM Learning Resources. This includes effectively present progress made and outcomes achieved to staff and others. Prepare and maintain reports and files related to assigned activities. Track work progress for all employees in the department and work with the Director to continue to improve team culture. Conduct regular meetings to communicate, review and revise departmental operation.
Manage the department’s schedule and follow up with all staff members for assessment of best operational practices. Plan and coordinate the day-to-day activities of the department. In collaboration with the Director and other staff, develop and implement department policies, guidelines, objectives and goals. This requires making decisions within the scope of the job and being proactive in solving complex problems that arise form a department that operates throughout several campuses and with a high number of part-time employees.
Work closely with the Director to develop a strategy to measure and revise operational tasks. Recommend and execute program plans and objectives while coordinating delivery of student services with the Tutor Coordinators and Program Managers. Communicate extensively through electronic mail, cloud-based media and phone. Prepare agendas, record and distribute minutes for various department meetings. Actively participate in all required meetings to ensure overall direction and guidance of the department.
Process fiscal and budgetary documents that may include requisitions, time entry and budget reconciliation. Also, assist with the Informed Budget Process. Coordinate school events by managing personnel, budget and other resources simultaneously.
Serve as a front-line communication point for students, faculty and staff and foster an inclusive and welcoming culture.
Assist in planning, coordinating and implementing annual or scheduled events such as scientific symposium for students, department professional development retreats and other events requested by Director.

Minimum Qualifications

Associate’s degree.
Two (2) years of direct, paid, full-time experience.
Part-time experience may be substituted for full-time experience and/or education on a prorated basis.

Preferred Qualifications

Knowledge of College systems such as Banner, Tutortrac, and PARs.

Work with College budget systems, including payroll and timesheet reporting.
Manage confidential information in an ethical manner.
Ability to efficiently and effectively execute departmental plans and objectives.
Excellent time management skills with the ability to work independently and under stress.
Ability to provide overall direction, guidance in the day-to-day operations, create and follow schedules and meet deadlines.
Excellent leadership skills with the ability to work with, motivate and support students, faculty and staff.
Ability to establish and maintain effective and cooperative working relationships with other personnel.
Ability to resolve conflict and make appropriate and ethical decisions.
Ability to prioritize time and manage complex tasks in an environment that is potentially distracting or disruptive.
Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
Ability to work with all groups in a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
