Job Description

 

The Chippewa Falls Area Unified School District is seeking a Human Resource Specialist. This position assumes responsibility for processing and maintaining records for all candidates for employment; creating, maintaining, and exporting staff in employee management Skyward system into the payroll system; broad scope of communication with all stakeholders; providing administrative assistance to the executive director of human resources; familiarity with employee handbook and contracts; assistance with management of information regarding vacancies and transfer requests; office manager and receptionist duties; assist with department budget and processing of financial documents. The expectation is to provide excellent customer service, effective communication, and be dependable and responsible in all situations.

 

Duties include:

*Discuss and interpret District rules, regulations, and policies in person or on phone with administrators, teachers, parents, staff, and candidates.

*Work with the Director of Human Resources/Public Relations and Human Resource staff to prioritize department functions and plan schedules to meet deadlines. Assist when and however necessary to accomplish department workloads.

*Maintain adequate records of new personnel including making up new files, assisting in the generation of contracts, verifying salaries, identifying lists of candidates for Board approval, and notifying new personnel of approval of their position and their effective date.

*Conduct background checks for both district employees and volunteers

*Draft correspondence in response to general inquiries.

*Develop personnel records, including confidential records for all school employees related to employment, transfer, tenure, retirement, leave, promotion, etc.

*Maintain personnel files of all employees and ex-employees.

*Enter new staff into the Human Resource software program (Employee Management module of the Skyward system) and maintain tracking of district job positions.

*Assist with interpretation of district policies, procedures, and contracts to staff.

*Oversee the annual safety training requirements for staff and volunteers

*Prepare individual letters of award for new hires if necessary prior to Board action.

*Prepare award letters for benefit-eligible position transfers within the District.

*Prepare an annual listing of all new hires.

*Send information on New Teacher Orientation to new hires.

*Process Alternative Vehicle Driver paperwork and maintain a database.

*Verify the status of new educational support staff in relation to paraeducator guidelines.

*Work with the Executive Director of Human Resources/Public Relations to develop an annual staffing plan for the district.

*Work closely with administrators to determine and meet their needs in the employment process.

*Prepare, monitor effectiveness, and suggest changes to keep hiring processes, letters, forms, instructions, applications, etc. current and relevant.

*Interpret district employment policies and procedures to candidates and communicate with them on an extended basis.

*Prepare a regular, complete, and accurate electronic upload from the Employee Management Skyward system into the Payroll Skyward system, accomplishing an automatic update of pay records for staffing changes (retirements, resignations, new hires), position changes, salary changes, etc.

*Greet visitors and answer telephone calls as needed.

*Perform other duties as assigned.

 

Qualifications

Qualifications: Associate or Bachelors Degree (preferred) in Human Resource or Business-related field. Knowledge of human resources functions; Strong computer knowledge and skills in database and word processing with the ability to problem solve within complex systems. Experience with accounting/finance methods as well as personnel procedures and methods; high organizational skills and self-motivated. Strong team and customer service skills. Experience with Skyward is a plus. This position assumes responsibility for the management of all employee benefit plans.
