Position Summary

ABOUT THE COLLEGE:
Green River College's student body is made up of approximately 41% Academic Transfer students, 34% Professional-Technical, 15% Adult Basic Education, 3% Applied Bachelor degrees. Green River College has four campuses, including the main campus in Auburn, with satellite campuses in Kent, downtown Auburn, and Enumclaw. Green River programs serve high school graduates, Running Start students (dual enrollment in local high schools and the college), those seeking retraining for the workforce, international students, students learning English, and Continuing Education students. Green River's service areas are increasingly ethnically diverse, comprising African Americans, African immigrants, Asian Americans, Asians, Latinx, Native Americans, Pacific Islanders, and Middle Eastern Americans, among other communities.

While reporting directly to the Dean of Branch locations for Academic and Program Development, the primary responsibilities are to provide programmatic and administrative assistance to the Dean, support the program goals and interests, and coordinate program operations, budget management, record management, student services, and personnel administrations. The position will navigate needs of the internal and external constituents and manage special projects.

Position Responsibilities

 

  • Manage and prioritize the Dean's calendar and schedule appointments (virtual and in-person).

  • Maintain organized and detailed meeting minutes for the Deans meetings.

  • Coordinate the Deans travel arrangements, maintain itineraries, and compile travel expense reports of all expenditures.

  • Manage the Deans telephone communication, and occasionally draft email responses on behalf of Dean, while screening and prioritizing incoming mail and e-mail.

  • Collect/prepare background information for professional commitments and appointments while following up if more information or follow-up is needed.

  • Compose and proofread correspondence and materials on behalf of the Dean.

  • Prepare and distribute sensitive information related to department business with concise communication and utmost accuracy.

  • Provide direct programmatic and administrative support to the Dean, including office management and inter-and intradepartmental collaboration.

  • Develop, plan, and manage special projects, such as annual reports and data compilation, including but not limited to fiscal planning, enrollment data, accreditation data, and staff performance reviews.

  • Research and analyze information and source materials for reports and summarize findings for the above bullet point.

  • Act as a liaison between the Dean and various stakeholders, including state agencies, educational organizations, and the public.

  • Maintain and update intranet sites related to the Dean's activities.

  • Manage marketing and operation efforts supporting special projects and events requiring administrative and executive-level planning while collaborating with all Deans departments. For example: Plan and manage the division retreat.

  • Make the Deans necessary purchases in compliance with state and college policy while organizing expenditures for budget management.

  • Ability to work with confidential and sensitive materials.

  • Execute other related duties as assigned

  • Ability to be highly organized while managing multiple projects and demands.

  • Ability to multitask in a fast-paced environment.

  • Ability to prioritize multiple and/or shifting deadlines.

  • Ability to make executive-level decisions with minimal supervision.

  • Ability to respond to program needs with timeliness.

  • Ability to navigate complex and sensitive issues with confidentiality.

  • Ability to proactively streamline processes while maintaining a strong commitment to personal growth and continuous learning.

  • Demonstrate exceptional interpersonal skills, both in written and oral communication.

  • Exhibit comfort in navigating ambiguity and a proven ability to excel while working independently.

  • Possess experience in collaborating with and presenting to senior executives.


 

Qualifications

Qualifications:


  • Distinguished proficiency with Microsoft 365 with emphasis on Outlook, Teams, SharePoint, and ShareDrive
  • Proficient with Zoom
  • Awarded an Associates Degree
  • Basic understanding of the community college system
  • Previous experience in a fast-paced environment with multiple deadlines and projects
  • Previous experience with database analysis and/or reporting
  • Previous experience with fiscal management
