South Puget Sound Community College (SPSCC) seeks a highly motivated and qualified candidate for the position of Program Coordinator in the Assessment Center.

Student Services supports the Colleges mission and strategic plan by promoting and facilitating the enrollment, retention and goal attainment of students, and supporting student learning in and outside of the classroom. The position provides a point of contact for prospective and new students as well as the public for Assessment services. The position oversees the colleges assessment efforts including multiple measures of placement, virtual and in person testing both at the Olympia campus and in the local community and high schools.

What You'll Do

Department Oversight


  • Oversee day to day operations within the Assessment Center.
  • Supervise training of new employees brought into the Assessment Center and review training documentation as needed.
  • Establish work priorities for Assessment Center staff and ensure deadlines are met.
  • Maintain records & approve time sheets for Part Time and Work Study employees in the Assessment Center.
  • Coordinate staffing schedules and provide guidance to support staff & student workers for the Assessment front desk and proctoring.
  • Interview and recommend selection of applicants to fill vacant positions in the Assessment Center.

Customer Service
  • Provide positive customer service – use active listening and strong written and oral communication skills.
  • Inform and advise students, staff and the public with information and interpretation of college policies and activities related to enrolling and placing at South Puget Sound Community College.
  • Independently resolve problems and respond to a large volume of inquiries via face-to-face, phone, fax, virtually and e-mail about Enrollment Services, Advising, Registration, Assessment and other campus departments.
  • Interpret and ensure confidentiality of customer information following federal FERPA and financial aid guidelines and college regulations.
  • Refer/direct customers to appropriate staff and departments within the college when necessary.
  • Instruct and demonstrate for customers the use of the college website, including all online functions and general information.
  • Utilize desktop publishing, spreadsheet, and word processing software to create and manage documents, forms, track phone messages, etc.
  • Answer and respond to the Assessment general phone line.
  • Instruct and demonstrate for customers how to sign up for testing appointments online.

Assessment Services Program Support
  • Lead for evaluations of placement and milestone requests and ABE/ESL level changes.
  • Maintain appropriate credentialing to serve as Lead Proctor for the various testing services offered including signing vouchers, ordering vouchers and maintaining testing units.
  • Manage and update the registration and enrollment systems for testing appointments including coordinating off-site testing for revenue generating people and agencies.
  • Process invoices and funds accrual working with the Business Office for revenue and billing.
  • Communicate and collaborate with a variety of high school partners to coordinate on site high school placement testing.
  • Independently check and assist students appropriately when there are issues with their scheduled testing appointment.
  • Oversee responses for outgoing or incoming email in the Assessment email box.

 

Qualifications You Possess

Minimum Qualifications


  • High school graduation or equivalent AND two years of related experience; OR an Associates Degree AND one year of experience in a customer service setting; OR equivalent education/experience.
Preferred Qualifications:
  • Ability to work independently, prioritize multiple tasks, and accommodate multiple interruptions.
  • Ability to function as a team member and maintain office confidentiality.
  • Intermediate knowledge of computers and software applications, specifically MS Office suite: Word, Outlook, Excel
  • High degree of accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Commitment to a working environment that values a diverse academic environment, inclusive of students, faculty, and staff of diverse cultural, socioeconomic, and educational backgrounds.
  • Experience leading a specialized functions office
  • Proctoring certification/credentialing (current or previous)
  • Experience with a Student Management System (SMS) and/or PeopleSoft.
  • Experience as a supervisor of staff or work study students
  • Experience as a customer service representative
