Job Description

Black River Technical College is seeking qualified applicants for the position of Administrative Specialist for Student Affairs.  This position is a full-time, twelve-month position with a benefits package offered.  The yearly salary for this position will be $24,600.00

 

Position Description:

Under the direction of the Director of Student Development and Vice-President of Student Affairs, the Administrative Specialist for Student Affairs will serve as an administrative assistant to all divisions of Student Affairs, including: Admissions, Financial Aid, Registrar, and Student Life.  The primary location for this position will be Pocahontas, but some intercampus travel may be required.  Work hours will generally be fixed to BRTCs daily operations; however, a flexible work schedule may be required during events or as necessary.

 

Job Summary:

The Administrative Specialist for Student Affairs will often be the first voice or first person to greet or assist a current or prospective student who reaches out to BRTC.  The person entrusted to this position must be able to demonstrate our Mission, Vision, and Values though voice and interaction, while conducting daily office operations for Student Affairs departments.

·         COLA and/or bonuses are provided whenever fiscally responsible

·         Eight hours of sick leave monthly after fulfilling all work hours in a pay period

·         Eight hours of vacation leave monthly after fulfilling all work hours in a pay period

·         Vacation leave increases according to years of service schedule

·         Eight hours per calendar year of education leave

·         A portion of health insurance premium paid by BRTC

·         $20,000 life insurance policy with premium paid by BRTC

·         14% minimum retirement contribution from BRTC each pay period

·         11 paid State Holidays per calendar year if employed full time during the date of those Holidays

·         Tuition Waiver for Employee and dependents to BRTC

 

Essential Duties and Responsibilities:

·         The primary focus of the position is high-level customer service and responsiveness.

·         Answers the telephone promptly and professionally; directs calls to appropriate department.

·         Greets visitors promptly in a courteous manner. Records and distributes minutes for SA departments.
·         Scans and updates documents in our Student Information System.

·         Enter or update student data in our Student Information System.

·         Enter or update information on the BRTC website pertaining to SA departments.

·         Processes mailing correspondence for SA departments.

·         Maintain a general knowledge of the daily operations of Admissions, Financial Aid, Registrar, and Student Life to answer and direct student inquiries to appropriate staff.

·         Assist staff with projects and events to meet objectives of the department.

·         Other work-related responsibilities as assigned.

 

Knowledge, Skills, and Abilities:

To perform the job successfully, an individual should demonstrate the following competencies:

·         Friendly and professional demeanor.

·         Knowledge of general office practices and etiquette.

·         Ability to multi-task effectively.

·         Familiarity with basic computer operations, specifically familiar with Microsoft Office and the Google Suite.

·         Strong communication and interpersonal skills, using tact, patience, and courtesy with all prospective and/or current students, visitors, faculty, staff, and administration.

·         Correct usage of English language: grammar, spelling, and vocabulary.

·         Ability to operate a switchboard with multiple lines.

·         Ability to understand direction from oral or written information.

 

Qualifications:

The formal education equivalent of an Associate Degree is preferred.  Experience in customer-service, office management, and/or administrative assistant duties are preferred. Other job-related education and/or professional experience may be substituted for all or part of these basic requirements.
