About the Department

The Department of Population Health and Pathobiology (PHP) is one of three departments in the College of Veterinary Medicine at North Carolina State University. The department is divided into 9 sections of 2-8 faculty members. Each section concentrates on a specialty area within veterinary medicine.

The mission of PHP is to recruit, train, inspire, and graduate Doctors of Veterinary Medicine of exemplary knowledge, skill, and character. In order to maintain the intellectual and professional climate necessary to accomplish this mission, the departments faculty will advance veterinary medical science through innovative basic and applied research, inspired mentoring of students (undergraduate, professional, residents, and graduate), excellence in clinical and diagnostic services, and innovative extension and engagement activities. Essential Job Duties

The Executive Assistant manages the administrative office of the Department of Population Health and Pathobiology and serves as the assistant to the department head:

Duties and Responsibilities include but are not limited to:
  • Supports priorities and deadlines for the Department Head to facilitate completion of work assignments. Maintains/updates the Department Heads calendar and schedules meetings for the department head.
  • The incumbent must possess an in-depth understanding of the Departments strategic mission and internal policies and Standard Operating procedures
  • (SOPs), as they will be responsible for gathering information and data from a wide variety of sources and summarizing for various modes of communication.
  • For example, creative design and management of the PHP Departmental website and faculty webpages and compiling relevant information for the newsletters and reports.
  • Updates the faculty individual report template as needed and annually distributes to faculty.
  • Collects and reviews reports in preparation for the department heads evaluation.
  • Coordinates annual review meetings with 80+ faculty before the universitys deadline.
  • Assists faculty with the formatting, compilation, editing and overall preparation of their dossier for the Reappointment, Promotion, and Tenure (RPT) process.
  • Coordinates adjunct faculty nominations and appointments.
  • Coordinates faculty and staff searches, interview itineraries, and hires.
  • Coordinates regular faculty and staff meetings with the department head.
  • Independently plans departmental events, such as the end-of-year celebration and farewell/retirement receptions.
  • Supports administrative needs of programs within the department, such as internship and residency programs.

  • Other duties as assigned.

Minimum Experience/Education

High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associates degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelors degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Proficient with Microsoft Office, Google Drive and Adobe suite of applications.
  • Strong verbal/written communication skills.
  • Ability to work with a varied population of employees identifying solutions to complex and varied issues.
  • Ability to work independently and manage time effectively.
  • Maintains confidentiality at all times.

Preferred Qualifications

  • Knowledge/familiarity with PeopleSoft & PeopleAdmin HR systems or equivalent.
  • Knowledge of university policies and procedures.
  • Experience in providing extensive administrative support.
  • Experience working in a university setting.
