Project Coordinator II – CRM Specialist-Student Communications (TEMP)Special Instructions to Applicants
- Collaborate with the district IT department to support the ongoing configuration and optimization of the colleges new CRM system as it pertains to student communications.
- Ensure the CRM is tailored to meet the needs of various student communication initiatives, including data imports, segmentation, automation, and tracking capabilities.
- Own the development and execution of the communications plan related to key legislative changes (e.g., CA AB 2683, 1111, 928, 1705).
- Manage the timeline, deliverables and outcomes of the communications plan, ensuring timely and effective outreach to targeted student groups.
- Become a subject matter expert in generating and analyzing student reports within the CRM.
- Use these reports to create accurate and targeted lists for communications, ensuring that messages reach the appropriate student populations.
- Write and design compelling emails, text messages and other communications tailored to the needs and preferences of different student segments.
- Ensure all communications are clear, concise and aligned with the colleges tone and messaging guidelines.
Campaign Performance Analysis & Optimization:
- Monitor and analyze the performance of all student communication campaigns within the CRM, including open rates, click-through rates, response rates, and overall engagement.
- Use data-driven insights to identify trends and areas for improvement in campaign performance.
- Make recommendations and implement changes to optimize communication strategies, ensuring that outreach efforts are both impactful and efficient.
- Work with stakeholders to continuously refine messaging, targeting and timing to improve outcomes for student engagement and success.
- Provide training and support to colleagues across departments on how to effectively use the CRM for student communications.
- Develop and deliver training materials, workshops, and one-on-one sessions to empower staff to maximize the CRMs capabilities.

- Bachelors degree in communications, marketing, information technology, or a related field.
- Proven ability to lead projects from inception to completion, particularly those involving cross-departmental collaboration.
- Experience with CRM systems, preferably Salesforce; bonus if in a higher education setting.
- Knowledge of email marketing and automation best practices and tools.
- Strong writing and content creation skills, with the ability to tailor messages to different audiences.
- Analytical skills with experience in data reporting, list generation, campaign reporting, and optimizations.

Retirement: Most employees are members of the PERS (Public Employees Retirement System). Faculty employees and Academic Managers are members of the STRS (State Teachers Retirement System). Police Service employers are members of Safety Public Employees Retirement System.
Deferred Compensation: The District offers two optional deferred compensation plans. Eligible employees have a choice of the 457, 403b plans and a selection of savings and investment options.
Leave Allowance: The District offers monthly eligible classified employees and managers/supervisors a generous vacation and sick leave benefits as well as 20 paid holidays annually (which can vary based on length of winter break).
Additional Benefits: The District also offers monthly eligible classified employees and managers/supervisors educational reimbursements, employee assistance programs, a travel assistance plan, longevity compensation, retiree benefits, employee discounts on health memberships and a comprehensive wellness program.
Newly hired employees may notify the respective union (Local 1 or United Faculty) if they opt to join and/or authorize payment to the union. If the newly hired employee authorizes payment to the union then the following fees apply: Local 1 has a one-time initiation fee of $45.00 and monthly contribution of 1% of gross pay +$1. United Faculty has an agency fee of .55% of gross pay plus $2.50. (All confidential, supervisory and management positions are exempt from union membership)
