Academic Program Administrator
Job Description
We are seeking an Academic Program Administrator for the Whiting School of Engineerings (WSE) Ralph S. OConnor Sustainable Energy Institute (ROSEI) will manage the ADAM program (AI-Driven Advancement in Microelectronics), funded by the National Science Foundation (NSF) Research Training (NRT) program, and the ROSETAS program, an NSF Research Experience for Undergraduates (REU) site. They will ensure that the programs run successfully, working with the programs directors, faculty, and students.
The majority (90%) of the time will be spent managing the ADAM program. The Program Administrator is responsible for a wide variety of programmatic tasks requiring them to be flexible, creative, and take initiative. The program can be expected to evolve over time and will suit a Program Administrator who embraces this constant program assessment and change. The Program Administrator works with the directors (the PIs) to help students navigate the program successfully and help learn new skills to prepare for a host of career paths. The Program Administrator can be expected to help initiate as well as support the development and implementation of policies and contributing to program outcomes.
Specific Duties & Responsibilities
- Manage all aspects of the NRT program with the PIs, Professors Osuagwu and Clancy. This is a complex, multi-faceted program, involving a large team of around 13 faculty and around 50-70 graduate students.
- Partner with the NRT faculty in creating, designing and implementing NRT program policies and initiatives. The program's design integrates educational experience with students' research goals, professional development and career objectives.
- Establish new opportunities for students to improve their career readiness and professional preparation. These include helping to increase internship opportunities, increase collaborations for students outside the university that improve professional development activities and organize the twice-annual workshops.
- Design and implement best-practice recruitment strategies with the goal of attracting diverse applicants.
- Develop new marketing materials and publicize the program through flyers, social media, and website communications.
- Engage with student inquiries and provide program information to prospective students.
- Assist with financial management of the project including budget projections. This will include monitoring and reporting potential fiscal issues and recommending solutions.
- Supervise and communicate with departmental and School administrative staff on student appointments, faculty salary, and travel reimbursement.
- Implement data collection systems for assessment and evidence-based decisions. An external evaluator will be hired by the program to help identify what is working and what can be improved in the program. The evaluation requires data from the faculty and trainees such as surveys and summaries of research products.
- Support the PI in completing annual reports to the NSF, which detail the programs accomplishments, research products, and other activities. This includes compiling all publications and presentations for the project each year and updating the personnel table for the project for NSF. Implement data collection systems for relevant annual reporting data.
- Monitor students progress to ensure that they are meeting all program requirements. The trainees have several program requirements, such as taking classes and professional development activities. The coordinator will act to ensure the trainees are supported and will communicate with the students on their progress throughout the program
- Run the ROSETAS REU program. Duties include liaising with applicants, updating the application site, arranging housing, coordinating the professional development program, assisting in the assessment and reporting aspects of the program, and acting as a point of contact for students in the program.

- Microsoft Office Suite proficiency required.
- Ability to be flexible and handle additional duties as assigned.
- Ability to schedule multiple calendars, events and travel schedules.
Minimum Qualifications
- Bachelor's Degree.
- Three years progressively responsible experience in program administration in an academic environment.
- Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Google Suite proficiency.

Starting Salary Range: $48,000 - $84,100 Annually (Commensurate with experience)
